The Department of Health Education and Behavior (HEB) at the University of Florida offers bachelor’s (B.S.), master’s (M.S.), and doctoral (Ph.D.) degrees that variously involve on-campus, community, and distance education activities. Approximately 90 graduate students and 500 undergraduate students are currently enrolled. The mission of the department is to bridge the gap between scientific knowledge and public understanding of health to promote healthier living. This position provides an advanced level of support for the residential and distant education undergraduate programs (Health Studies, and Community Health Promotion), and requires working knowledge of pertinent university, college, department, and accrediting organization policies and procedures.
Duties include, but are not limited to: academic advisement, progress-to-degree monitoring, and support services for current and prospective undergraduate students in HEB. This involves virtual and in-person advising; handling academic contracts and students on academic probation; providing current and prospective students with information regarding change of major and transfer admissions processes; administering admission decisions for transfer and change of major students; assisting with student petitions; coordinating the department honors application for both UF Online and residential B.S. undergraduate programs; and degree certification for all students in the undergraduate programs. Incumbent will work with prospective and current students, the HEB Undergraduate Program Coordinator, Department Chair, department/college faculty and staff, and campus partners to increase continued support of resources for students in the programs.
Academic Advisement
Serves as the primary Academic Advisor for the Department of Health Education and Behavior which includes Residential, UF Online, and Pathway to Campus Enrollment (PaCE) undergraduate students majoring in the department's programs. Counsels students and parents (when necessary), providing academic and general information to current and prospective undergraduate students interested in degrees, minors or Honors programs offered by the department. This includes course schedules, tracking, probation, career and life coaching, study abroad, and petition processes. Reviews degree audits and makes necessary adjustments/corrections regarding substituted courses, requirement waivers, courses included in grade point average, and catalog year. Provides current and prospective students information regarding the change of major and transfer admissions processes. Administers admission decisions for transfer and change of major students. Responsible for creating and developing semester plans leading to degree completion to ensure students are aware of and meeting critical tracking and university degree requirements. Processes forms requiring a dean’s and/or chair’s signature, such as Drop/Add, S/U (satisfactory/ unsatisfactory), flexible learning, study abroad, hours extension, transient requests, and minor applications.
Manages daily communications with new and prospective students via phone, e-mail, Zoom, and/or letters. Works with other advisors in the department and college to promote program and course offerings each term. Promotes the offering of the combination degree program available to UF Online and PaCE students looking to pursue a professional degree program at the end of their undergraduate degree. Maintains continued involvement with UF Online and PaCE students who have taken a “semester off” via phone, email, and Zoom. Creates and develops semester plans for students who have taken a “semester off” to verify on-time completion of degree program, encourage re-admission to program and university, etc. Increases recruitment efforts of programs and major through involvement in various organizations and working closely with campus partners. Actively participates in departmental, college, and university committees related to undergraduate education, course scheduling, recruitment, and advising initiatives. Committees include, but are not limited to: Undergraduate Program Advisory Council (UPAC), HHP (College of Health and Human Performance) Advising, UF Online Advising, and UF Pre-Health Advising Council.
Academic Support
Answers inquiries via mail, email, telephone, Zoom and in-person. Assists academic programs through information sessions, HEB student organization tasks, Preview, and actively attending Residential, UF Online and PaCE meetings and events. Works with other college advisors to coordinate Preview and Transfer Preview activities and materials to provide information about the college to new and prospective students. Responsible for the interpretation and communication of UF and college academic policies and procedures for undergraduate students in the college and for recommending improvements. Identifies students whose academic or extracurricular activities make them eligible for department, college, university and/or national scholarships, awards, honors/recognition.
Provides assistance in department and college activities such as commencement, scholarship/awards ceremonies, advance registration, and drop/add activities. May attend UF Admissions recruiting functions with the department/college representative. Assists with yearly catalog updates and revisions. Assists HEB Internship Coordinator with pre-internship clearance and internship clearance checks via Qualtrics surveys. Reviews to ensure student interns are on-track to pre-intern, intern, and graduate in their final semesters of the program. Communicates with student interns to ensure awareness of degree requirements, internship requirements, etc. Updates HEB Internship Coordinator of student interns not cleared to pre-intern, intern, or graduate in their final semesters of program.
Collects and analyzes data for reporting of enrollment, graduation, etc. as requested by the Undergraduate Program Coordinator and Department Chair. Serves on various department and college committees as assigned by the Undergraduate Program Coordinator and Department Chair. Other duties as assigned by Undergraduate Program Coordinator and Department Chair.
Administrative Duties
Assists with HEB student enrollment, retrieves student records, tracks forms, and schedules appointments. Creates/maintains student-related records, such as undergraduate database, major files, program information forms, etc. Collects, analyzes, and compiles data on current student information, admission decisions, enrollment by degree program and specialization, and graduation statistics. Records and tracks admission data for new change of majors. Ensures advising and curricular information on the website is accurate. Helps improve website, presentations, handouts, and student forms. Creates and develops Qualtrics Surveys to capture additional data from UF Online students who have an interest in applying for or pursuing the Bachelor of Science in Health Education program.
Student Engagement
This position serves as the point of contact for student functions held by the department, providing support and coordination to enhance the student experience and strengthen connections between the classroom, students, and the department. This includes events such as Coffee and Conversation - a gathering of our faculty and students, hosting panels between our graduate and undergraduate students, and other such student-centered events.
Regular Work Schedule
Monday – Friday, 8:00 AM – 5:00 PM, except UF holidays; Some events such as Preview, commencement, and other functions may occur on weekends and evenings.
