Job Description:
This is a facilities management position within UF's Department of Pediatrics that primarily focuses on coordinating space allocation, conducting utilization assessments, maintaining comprehensive asset inventories, and overseeing preventive maintenance schedules across university buildings.
 
Space Management
• Coordinate space allocation, moves, and reconfigurations in accordance with university space
policies
• Conduct space utilization assessments and provide recommendations for optimization
• Process space requests and coordinate with academic and administrative departments
• Maintain accurate floor plans and space inventory records
• Collaborate with campus planning on space efficiency initiatives
• Manage office assignments, laboratory spaces, and common area utilization
• Complete annual space inventory
Asset Management
• Maintain comprehensive inventory and lifecycle tracking of facility assets, equipment, and building
systems
• Coordinate preventive maintenance schedules and oversee equipment repairs and replacements
• Develop and manage asset replacement plans and capital improvement recommendations
• Ensure compliance with warranty requirements and service agreements
• Maintain accurate records in university asset management systems
• Complete asset certification for necessary assets
Children's Medical Services Building Manager Duties
• Serve as primary building manager for the Children's Medical Services facility
• Coordinate with contractors, vendors, and service providers for building maintenance and
operations
• Oversee building access control, key management, and security protocols specific to medical
facility requirements
• Ensure building compliance with healthcare regulations, safety standards, and environmental
requirements
• Manage building-specific projects and coordinate with medical staff and university departments
• Maintain specialized systems and equipment essential to medical operations
Emergency Management
• Serve as building emergency coordinator and maintain emergency response protocols for all
academic buildings managed by UF Pediatrics.
• Conduct regular safety inspections and coordinate emergency drills
• Coordinate with UF Police, Environmental Health & Safety, and other emergency response teams
• Maintain emergency communication systems and evacuation procedures
Mail Supervision
• Supervise mail room employee and coordinate with university postal services
• Ensure secure handling of confidential and sensitive mail, including medical correspondence
• Maintain mail room equipment and coordinate repairs as needed
Misc Tasks
• Performs additional responsibilities as determined by departmental needs and supervisor direction
• Assists with special projects, training initiatives, and process improvement efforts
• Provides backup support for other team members during absences or high-volume periods
Expected Salary:

$65,000 - $75,000

Required Qualifications:

Bachelor's degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications
• Experience with facilities management, space planning, or building operations
• Knowledge of building systems including HVAC, electrical, and plumbing
• Familiarity with asset management software and space planning tools
• Project management experience, preferably in facilities or construction
• Ability to utilize critical thinking skills to problem solve without direct supervision.
• Knowledge of Microsoft Office Applications. i.e. Work, Excel, Outlook and PowerPoint
