The Manager provides leadership for campus-wide safety and environmental health programs. This individual oversees the daily operations of the department.
This includes developing and implementing the University's microbial response protocols and communications, managing Pepperdine's Emergency Response Team, serving as a liaison for Facilities and Business Services operations for the office, creating/updating/maintaining University risk management, health, and safety protocols, participating in workers' compensation injury investigations, working with the University's insurance portfolio, tracking departmental budgets, administering claims and loss control measures, supervising student workers, maintaining departmental databases and systems, including Everbridge, LiveSafe, and EOC documentation, assisting with contract reviews, and providing high-quality customer service. This position collaborates regularly with the internal constituents across the University and external constituents.
The Manager reports to the Senior Director of the Office of Emergency Services and the Office of Insurance and Risk.
The Office of Insurance and Risk supports Pepperdine's mission by managing the institution's insurance portfolio, facilitating risk discussions, and partnering with individuals and departments to develop sound mitigation strategies that enable them to achieve their vision and objectives while prioritizing the health and safety of the community.
The Office of Emergency Services is tasked with ensuring the University is prepared for natural and man-made disasters and responding to them when they occur.
Duties
- Manage the University's insurance portfolio including facilitating the completion of annual insurance renewal applications, claims management, addressing coverage questions, benchmarking with other schools, and issuing certificates of insurance.
- Partner with University academic divisions, faculty, and staff to implement University health and safety, risk management, and emergency preparedness policies and procedures. This routinely includes coordination and collaboration with numerous University departments including: Human Resources, Public Safety, Regulatory Affairs, Facilities Services, Campus Operations, Planning, Operations, and Construction, and others.
- Plan, develop, implement, and maintain policies and programs necessary to ensure workplace safety and health, protection of the environment, and safety of facilities, programs, and operations. These include, but are not limited to, programs involving workplace health and safety, asbestos, and moisture intrusion.
- Produce written communication to the University community, regulatory agencies, and the community at large, demonstrating excellent communication skills both written (emails, reports, etc.) and verbal (on the phone, in person, etc.).
- Develop and implement proactive risk management and emergency preparedness policies and procedures to prevent losses, including ensuring they are in compliance with applicable Federal, State, and local laws and regulations.
- Oversee University environmental health, safety, and occupational training programs, including safety trainings in the University Learning Management System (LMS), and ensure applicable programs are in compliance with applicable Federal, State, and local laws and regulations, including, but not limited to, Federal OSHA and Cal/OSHA.
- Address and manage concerns from stakeholders across the University and serve as a resource to University managers and supervisors regarding occupational accident investigation and reporting, insurance, and/or emergency preparedness.
- Administer the reporting of University hazardous materials and work jointly with the Department of Public Safety for hazardous materials inspections.
- Supervise the office's team, including the Coordinator and student workers, including training, supervising, and mentoring them to help prepare them for work in professional offices post-graduation.
- Conduct and attend reviews and inspections to monitor compliance with federal, state, and local regulations and procedures, and insurance carrier recommendations.
- Routinely attend meetings with stakeholders for purposes of presenting information. Examples include leading training at New Employee Orientation or for groups working with minors on campus.
- Conduct workers' compensation injury interviews and serve as a member of the quarterly Workers' Compensation claims review.
- Manage the University's microbial intrusion response protocol, including responding with DFS to initial concerns, disseminating appropriate communications to stakeholders, ensuring the process runs smoothly, raising issues as appropriate, reviewing the protocol, and providing an agenda for annual discussions on how the process can be improved.
- Manage the University's Emergency Response Team, including recruiting, training, maintaining the team, and supporting ERT members across the University.
- Serve as Critical Support Personnel (CSP) and support the EOC during emergencies.
- Perform other duties as assigned.

Skills and Qualifications
Required:
- Bachelor's Degree
- 2 years of administrative experience in a professional work environment or related field.
- Ability to manage several projects in parallel, with particular attention to detail.

Preferred:
- 3+ years of relevant experience
- Experience in risk management, insurance and claims handling, or emergency preparedness.
- Familiarity with Pepperdine systems and culture.
- Knowledge of PeopleSoft
- Ability to use Google Suite programs
- Conversational Spanish
This is a Regular, Exempt, 40 hour per week position.
Expected Pay Range: $70,304 - $75,000 per year
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
