The Manager, Moving and Setup at Pepperdine University is responsible for overseeing a team of employees who manage the setup of tables, chairs, umbrellas, canopies, and other event-related furniture for special events, as well as the moving and removal of surplus items across the University. This role ensures that all logistics related to event set-up and furniture movement are executed efficiently, safely, and in alignment with the University's operational needs. The Manager is responsible for supervising, training, and coordinating staff, while providing exceptional service for events and maintaining a high standard of performance.

Duties

  • Team Supervision and Management: Supervise, lead, and provide daily direction to a team of employees in the Set Up and Moving Services department with a collaborative approach. Provide training, coaching, and professional development opportunities for team members to ensure high-quality performance, safety compliance, and customer service. Communicate well and monitor staff productivity and performance, conducting regular evaluations and offering feedback for improvement.
  • Event Setup, Furniture and Surplus & Coordination: Oversee the setup of tables, chairs, umbrellas, canopies, and other furniture for University events, ensuring that all arrangements meet event specifications and timelines. Collaborate with event planners, faculty, and other departments to assess the logistical needs of each event and coordinate the timely delivery and setup of equipment. Ensure that all event setups are executed according to University policies, safety standards, and quality expectations. Manage the safe and efficient moving of furniture and equipment throughout the campus, including relocation for academic purposes, office setups, and special requests. Coordinate the removal of surplus items, ensuring that all materials are properly cataloged, disposed of, or redistributed in accordance with University procedures.
  • Logistics and Equipment Maintenance: Monitor expenses and allocations the operating budget for and in collaboration with the Assistant Director, manage costs and expenses, examine forecast models and contract and invoice processing. Execute recharge transaction for services rendered by the department. Ensure that all equipment, such as tables, chairs, umbrellas, and canopies, is regularly maintained, cleaned, and stored in optimal condition for future use. Oversee inventory management for event setup and moving equipment, ensuring that all supplies are fully stocked and in good working order. Coordinate repairs or replacements of damaged equipment in a timely manner. Oversee TMA and workflow to ensure accurate data input for reporting purposes including work order intake, status updates, timekeeping, etc.
  • Safety and Compliance: Ensure that all work is performed in compliance with safety regulations and University policies. Conduct regular safety audits and implement appropriate procedures to prevent accidents or injuries during event setups, furniture moving, and surplus item removal. Provide safety training to staff, emphasizing safe lifting techniques, equipment handling, and proper setup procedures.
  • Perform other duties assigned.

Skills and Qualifications

Required:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in facilities management, logistics, or a related field is a plus.
  • 3+ years of experience in facilities management, event setup, moving services, or a similar role, with at least 1 year of supervisory experience.
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Knowledge of event logistics, furniture handling, and setup processes.
  • Excellent leadership and communication skills, with the ability to motivate and manage a diverse team.
  • Ability to lift and move heavy objects (up to 50 lbs) and operate equipment such as dollies, hand trucks, and other moving tools.
  • Strong problem-solving abilities and attention to detail.
  • Familiarity with safety procedures related to manual labor and equipment handling.

Preferred:

  • Experience working in a higher education or event-driven environment.
  • Forklift certification or experience with other large equipment used for moving and setup.
  • Proficiency with facilities management software or event coordination tools.

This is a Regular, Exempt, 40 hour per week position.

Expected Pay Rate: $68,640 per year

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
