The Program Manager provides high-level administrative leadership, strategic planning, and operational oversight for the MMEPS program. This position is responsible for managing core academic, student, faculty, operational functions that are essential to the integrity and compliance of the program.

Duties

  • ACADEMIC PROCESS ADMINISTRATION AND SUPPORT: Provide comprehensive support and guidance for the academic program across the full academic process. Internally, this includes:
    • Oversight of each term's academic needs and requirements, including: coordinating book adoptions and reserves; preparing photocopies to support faculty; distributing class materials; ensuring courses (and faculty) are fully supported during the term; administering course evaluations; proctoring examinations; and ensuring all deadlines for grading and other academic processes are met.
    • Oversight of academic records management, course registration, petitions for transfer credit and independent study, and processes student enrollment, transfers, and withdrawals.
    • Management of the course catalog to ensure program compliance with all jurisdictional (DC Higher Education Licensure Commission), accreditor, and federal requirements.
  • STUDENT SERVICES/ACADEMIC ADVISING: Serve as the dean of students within the program, academic administrator, judicial administrator in Honor Board cases, and grievance officer for students in the MMEPS program.
    • Counsel students on academic probation or subject to disciplinary action.
    • Oversee and process all student requests for additional support, leaves, and petitions for academic and other purposes.
    • Track student progress to ensure satisfactory completion of all academic requirements.
    • Responsible for developing and implementing student retention strategies.
    • Build and manage the course schedule.
  • FACULTY SUPPORT AND MANAGEMENT: Organize and plan course schedules each term.
    • Coordinate and support the recruitment of faculty each semester, including outreach and interviews.
    • Prepare and administer faculty contracts in coordination with university processes.
    • Ensure faculty have access to the materials and resources necessary to support their teaching and research.
    • Process and verify faculty payments.
    • Maintain the faculty roster.
    • Prepare, oversee, and administer course evaluations.
    • Attend faculty meetings and provide administrative support, including the preparation of meeting minutes.
    • Support and train faculty on the university learning management system.
  • ADMINISTATIVE LEADERSHIP AND OVERSIGHT: Supervise and plan the operations of the MMEPS program, including all administrative aspects of office management. Duties include:
    • Coordinating business cards, preparing and managing business correspondence, and scheduling meetings.
    • Plan and maintain the program and office calendars.
    • Prepare and process purchase orders and expense reports; serve as the interface for billing; and ensure vendor payments and transactions are completed accurately.
    • Prepare budgetary reallocations and substantiations for faculty, the Vice Chancellor and Managing Director, and operations staff.
    • Serve as the key event planner and coordinator for the program, arranging venues, preparing programs, coordinating event logistics and resources, and serving as the on-site staff during events. Maintain accurate records of transactions, events, and program processes.
    • Supervise support staff as needed.
  • TECHNOLOGY: Develop and execute technology initiatives for the MMEPS program, including adoption of new classroom software, coordinating the school's web presence, and overseeing content operations.
    • Program and administer course evaluations using the university platform.
    • Conduct data validation and regression testing for PeopleSoft (finance, HR, and student modules); build tables, reports, and queries for Salesforce and PeopleSoft systems; and develop business processes and best practices for the program's technology operations.
    • Update Degree Audit Reports and exceptions as needed.
    • Manage the 25Live scheduling platform.
    • Serve on the university's Data Stewardship Committee.
  • Perform other duties as assigned.
  • Uphold University mission through work performed.

Skills and Qualifications

Required:

  • Bachelor’s degree in the areas of business, communications, liberal arts, or related field, with a strong emphasis in English and language arts.
  • 3 years of managerial experience; experience in public relations and marketing.
  • At least 3 years experience interacting with a variety of senior executives, high potential alumni, and supervising responsibilities demanding effective communication skills and superior writing ability; a proven track record of making independent decisions.
  • 2 years strategic planning and project management experience with results in assessment, budget management, and technology implementation.
  • Ability to analyze broadly defined policies/activities and formulate plans for implementation.
  • Effective communication skills, oral and written, including editing ability.
  • Knowledge and experience in educational administration relative to institutional management; strong interpersonal and public relations skills; advanced managerial/ supervisory skills; ability to initiate and take independent action; planning and organizing both short-range and long-range goals and objectives; conceptualizing philosophical policies required to move a school to a position of international prominence.
  • Knowledge of Microsoft Office suite of products required with experience in MS Access programming; experience in HTML, Adobe Photoshop, and Adobe Professional; experience with software for admissions and recruitment a plus, including CRM databases and on-line admission applications; knowledge of PC environment; experience in PeopleSoft and SIS preferred; knowledge of spreadsheet programs required; fax machine; OmniUpdate experience a plus.

Preferred:

  • Master’s degree or 5 or more years in a comparable position.

This is a Restricted, Exempt, 40 hour per week position.

Expected Pay Range: $68,640-$70,000 per year

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level. In addition to base pay, Pepperdine offers a robust and highly competitive benefits package.
