The Administrative Assistant for the business administration division provides general office support to the divisional dean, faculty, staff, and students while supervising and coordinating the duties of student employees. The administrative assistant also assists with events, social media, student registration, and academic advising within the division majors. This is an 11-month position.
Duties
- Assist divisional dean with general office management, including tasks and events that advance divisional goals, such as coordinating division meetings, seminars, conferences, and receptions.
- Assist the office manager with ongoing initiatives and projects as it pertains to academic-related matters. Work with the office manager to create a hospitable, friendly, and service-focused environment in the division office.
- Plan and implement division routine and special events (including but not limited to: NSO, Faith & Business Chapel, Service Leadership Orientation, Alumni Back to School Day, graduation receptions, division parties, etc.). Assist with graduation and other events as needed.
- Organize the hiring process for student employees, their training and development, scheduling, and managing their daily workload alongside the office manager throughout the semester.
- Maintain the division's website, digital media, and all social media. Create flyers and promotional materials for larger-scale events as needed, etc.
- Assist with application to the major process and academic advising as needed.
- Ensure semester unique documents are prepared prior to the start of each semester, including office supplies, matrices, schedules, room changes, mailboxes, door schedules, door access, division directory, and online directory.
- Take meeting minutes at monthly division meetings, candidate job talks, etc.
- Work with other departments on campus to ensure upkeep of division spaces, submitting ongoing maintenance requests to facilities.
- Maintain the distribution list for Seaver Business majors and e-mail all majors and pre-majors.
- Organize classroom visits for prospective students.
- Serve on the emergency response team and update the ERT binder as needed.
- Perform other duties as assigned.
- Uphold University mission through work performed.

Skills and Qualifications
Required:
- Two years of college or equivalent.
- Two years of job-related experience.
- Supportive of University's mission.
- Strong oral and written communication skills.
- Strong organizational and time management skills.
- Good interpersonal skills.
- Strong phone and email etiquette.
- Social media knowledge.
- General office skills.
- IBM PC skills and working knowledge of Microsoft Office and Google Suite.
Preferred:
- Bachelor's degree.
- Familiarity with a University OSIS (Student Information System).

This is a Regular, Nonexempt, 11 month per year, 40 hour per week position.
Expected Pay Range: $22.50 - $25.00 per hour
The above pay range reflects what Pepperdine University reasonably expects to pay for this position at the time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
