The career services office, TC NEXT at Teacher College, Columbia University, is seeking an Assistant Director of Data and Operations who will be responsible for managing office-wide operations, data management, and the office’s digital platforms. This role will support the Coaching & Programming, Employment Partnerships, and Student Employment teams.

Job Summary/Basic Function:

Reporting to the Senior Associate Director of TC NEXT, the Assistant Director of Data and Operations will manage data, systems, and department-wide operations, including event-based coordination, marketing, and support. The incumbent will also support the ongoing the ongoing development and execution of data-driven, strategic goals for the team at TC NEXT, with an emphasis on the career outcomes data of recent graduates. The Assistant Director will also utilize and support the office’s digital platforms, including Symplicity CRM, web-based career development tools (Quinncia, Interstride, etc.), and TC-wide digital platforms.

Characteristic Duties and Responsibilities:

Operations 

  • Supports project execution, organization, and planning through the use of a work management platform i.e., Asana
  • Manages office operations including scheduling, and event/programming agendas
  • Works with the Departmental of Student Affairs and internal TC NEXT Communications team on flyers, signage, promotion, and event reminder emails
  • Engage in focused email campaigns for all office events and other initiatives
  • Responsible for maintaining standard operating procedures and knowledge base, being able to respond to all inquiries in person, on the phone, or via email relating to online platforms and resources, programs, services, and initiatives across the office
  • Contribute to the overall flow of the office by providing superior customer service and general operational support
  • Support the development and implementation of efficient processes and workflows to enhance the delivery of career services to  students and alumni

 

Data Collection and Strategy

  • Manage data collection, analysis, and interpretation from Symplicity CRM, website traffic, and other digital resources (Quinncia, Interstride, PageUp, Qualtrics, Canvas) to establish baselines for success, including measures such as:

○ Program-specific engagement and satisfaction survey data
○ Placement in jobs as well as academic opportunities (e.g. fellowships, postdocs, degree programs)
○ Student and alumni engagement
○ Net Promoter Score
○ Work with the Director of TC NEXT and Team Leads to identify appropriate metrics to measure stated objectives

  • Create data visualizations for the presentation and interpretation of office success and usage metrics to:
    • Translate and communicate to share with internal and external stakeholders (TC NEXT team, faculty, staff, employers)

  • Work with TC's Office of Institutional Research on developing and deploying the Graduate Student Exit Survey and numerous other
    surveys related to career outcomes of TC students
  • Create yearly outcomes reports for recent graduates and compile program-specific reports
  • Manages analytics for the Career Resources Portal and all technology platforms utilized by the office

 

Systems Management 

  • Develop and employ high-level expertise with career platforms (ie. Symplicity CRM) to administer student and alumni-facing activities including appointment scheduling, employer events, workshops
  • Manage the back end of digital platforms, such as Symplicity, to ensure that the collection of data and input is efficient, effective, 
    and designed to help advance our vision
  • Coordinate the implementation and maintenance of other digital tools launched by the office (i.e. Interstride, Quinncia)
  • Collaborate with TC NEXT team leads to enable relevant technologies to deliver team objectives

 

Student Employment Team Support 

  • Support the Student Employment team via inbox and inquiry management (email, phone, and in-office visits)
  • Assist the Student Employment team with PageUp requisitions and approvals, working with managers to facilitate a streamlined student hiring process Support the Student Employment team in reviewing and approving job offers, posting job openings, and
    tracking new hire paperwork
  • Aid with, reviewing, and approving student employment reappointment and termination transaction

Other duties as assigned 

 

Minimum Qualifications:

  • Bachelor’s degree or the equivalent in education and training with at least 2-4 years of professional experience.
  • Experience with data extraction, analysis, manipulation, and data visualization using tools such as Excel, Tableau, Qualtrics, etc.
  • Strong computer skills (i.e. Google Suite, Microsoft Word, Excel, PowerPoint), and the ability to use web-based technology
  • Excellent data and information management skills
  • Ability to manage multiple projects simultaneously
  • Diligent attention to detail and meticulous record-keeping
  • Ability to establish priorities, set objectives, and achieve goals
  • Ability to work effectively with diverse constituents, including employers, students/alumni, faculty, and administration
  • Sound professional judgment and a strong sense of ethics
  • Ability to communicate complex data in a way that is relevant and accessible to multiple audiences
  • Solid communication and interpersonal skills, active listening, critical thinking, and time management skills

 

Preferred Qualifications:

  • Master’s Degree in related fields
  • Understanding of career-related technology (i.e. Symplicity, Handshake, etc.)
  • Proven ability and experience working in a higher education setting, specifically with a graduate student population
  • Experience in operations and project management
  • Ability to demonstrate an entrepreneurial mindset with the ability to drive program enhancements further
  • Experience managing and maintaining career management systems

 

Salary Range:

$73,000 - $77,000
