Department Summary

The Division of Graduate Studies is the administrative office with ultimate responsibility for policy and procedures relevant to graduate education and graduate students. Its programs and services affect nearly 4,000 graduate students and almost 90 graduate degree programs. The Division’s core purpose is to promote graduate education by fostering excellence, innovation, and inclusive communities. Position Summary

The purpose of this position is to support the admissions and recruitment functions of the Division. As a graduate recruiter, the person in this position will work with unit staff and stakeholders to implement effective recruitment strategies across all graduate programs. The Graduate Admissions Coordinator is one of the Division’s primary admissions processors, with a specialization in the review of foreign credentials. The Graduate Admissions Coordinator works closely with prospective students, campus stakeholders, and Division staff and should therefore be customer-service oriented, professional, and possess excellent communication skills, both written and spoken.

This position has a high degree of decision-making and is autonomous in most decisions. The work requires a good understanding of policy, and an ability to extrapolate known policy into new or less clear situations. Serving the Division’s core values and purpose requires an ability to make decisions about admission policies and procedures in a manner that is fair and inclusive and to provide an environment that is welcoming and service-oriented.

The position reports to the Division’s Director of Admissions.

Minimum Requirements

• Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
• An equivalent combination of training and experience.

• One year of postsecondary education may be substituted for up to one year of the experience.

Professional Competencies

• Excellent communication skills with the ability to articulate complex issues and communicate clearly and interact effectively with prospective students, applicants, faculty, and staff from a broad range of programs and disciplines.
• High-level organizational skills with the ability to prioritize and multi-task effectively in a detail-oriented and time-sensitive environment.

Preferred Qualifications

• Bachelor’s degree.
• Experience working in an institution of higher education.
• Experience evaluating international credentials.
• Communications/recruitment experience.
• Experience working with Slate CRM and Banner ERP or other admissions and/or university information systems.
• Basic HTML experience.
