The Opportunity

The Mental Health Services Administrator is a pivotal support role within the Mental Health Services team, working closely with the Manager of Mental Health Services and Head of Mental Health to ensure best-practice operations across governance, quality assurance, document control, and continuous improvement.

This position will suit an experienced administrator with strong governance capability, exceptional attention to detail, and the ability to work proactively across multiple systems, stakeholders, and reporting frameworks.

Your primary responsibilities:

  • Maintain and enhance document control and records management practices in alignment with clinical governance standards and confidentiality protocols.
  • Drive quality assurance processes and assist in monitoring compliance with service policies, procedures, and data reporting frameworks.
  • Support continuous improvement initiatives across the service, including the tracking of KPIs, stakeholder feedback, and service development actions.
  • Thrive in an environment focused on client centred service provision working towards accreditation which will involve audit preparation and process.
  • Support in the optimisaion of scheduling systems such as MMeX and HealthEngine for clinical appointments.
  • Provide administrative triage for internal requests for mental health services.
  • Support the coordination of travel, accommodation, and logistics for team members and external workshops.
  • Assist with the planning, scheduling, and promotion of internal and external mental health programs and events.
  • Produce reports, maintain dashboards, and support data collection and analysis to inform operational planning and service evaluation.
  • Communicate service-level risks or issues to the Manager or Head of Mental Health Services and support timely resolution.
  • Provide ad-hoc administrative support to the Manager of Mental Health Services and Head of Mental Health as required.

What is required?

  • Demonstrated experience in document control, compliance, or governance-based administration (health, legal, government or similar fields highly regarded).
  • Familiarity with quality frameworks and continuous improvement methodologies.
  • High-level proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, SharePoint).
  • Ability to work with discretion and maintain strict confidentiality.
  • Strong interpersonal, organisational and communication skills.
  • Proactive mindset and a high level of attention to detail.
  • Experience coordinating events or training programs (desirable).
  • Business administration qualifications or equivalent industry experience.
