Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an application for the position of Administrative Coordinator under the supervision of the Executive Director of Student Affairs and Academic Services. The Administrative Coordinator supports the Executive Director by providing highly involved, complex, and diversified assistance, as well as, serving as a liaison to various departments across campus. The specific roles for which the Administrative Coordinator is responsible includes:

  • Act as the initial point of contact and key go to person for in-person and telephone contact for visitors to the office, provide information to callers, take messages, direct calls and mail internally and to other offices and departments as appropriate.
  • Prepare, edit, and proofread correspondence, reports, representations, etc.
  • Serve as the case manager and primary day-to-day point of contact, for all Campus Assessment Team (CAT) cases.
  • Fulfill all administrative duties associated with the day-to-day operations of CAT.
  • Assist with the planning and implementation of special projects, special events, and student programs.
  • Review and manage the process for approving and disapproving Special Orders.
  • Compose and distribute quarantine notifications to faculty, students, and staff.
  • Schedule the Executive Director’s meetings and maintain the Executive Director’s calendar.
  • Attend meetings as directed by the Executive Director.
  • Maintain website and other media platforms and marketing materials to help ensure they are up to date and reflect current initiatives.
  • Organize and file the office’s correspondence and informational materials, including confidential letters and reports pertaining to faculty, staff, students, etc.
  • Help oversee Graduate Assistants.
  • Manage the purchasing card for the department, reconciles purchases, and submits new vendor paperwork.

 

Minimum Qualifications:

A Bachelor's Degree and progressive administrative experience.  Position requires excellent working knowledge of office and management principles as well as interpersonal, management, judgement, and decision-making skills that will allow for effective working relationships with individuals at all levels of the organization and the college community. Employee must be able to work independently without supervision, be motivated, able to bring closure to tasks, be able to use sound judgement in dealing with all aspects of matters pertaining to the office, and have the ability to work with individuals of all levels of the organization to ensure tasks and assignments are met in an efficient and timely manner.
