JOB SUMMARY

The Study Abroad Student Assistant supports the Office of Study Abroad at Seton Hall University by providing administrative, advising, and event support. This role offers hands-on experience in study abroad program development, student services, and the use of administrative platforms (e.g., Terradotta, Excel, Microsoft Forms).

The student assistant will interact directly with prospective and current study abroad students and their families, while contributing to the planning and execution of programs and events.

The ideal candidate is adaptable, detail-oriented, and willing (though not required) to assist with occasional evening and weekend events in support of office initiatives.

DUTIES & RESPONSIBILITIES

The student assistant will work under the supervision of the Director of Study Abroad and collaborate closely with staff and students.

Daily Responsibilities

· Respond to student and family inquiries via email regarding study abroad programs, application processes, and deadlines.

· Conduct advising sessions with prospective study abroad students, providing guidance on program selection and requirements.

· Perform data retrieval, entry, and analysis within SHU’s Terradotta Study Abroad database.

· Assist with program creation, editing, and updates using Terradotta software.

· Coordinate scheduling and logistics for events, including class visits, tabling, and information sessions.

· Maintain organized records and assist with general administrative tasks.

Event & Outreach Responsibilities

· Provide on-site support at Study Abroad events, including tabling and information sessions.

· Engage with prospective and current students, as well as their families, to promote study abroad opportunities.

· Assist with event setup, breakdown, and decoration

· Greet and direct guests, ensuring a welcoming and professional environment.

· Support evening and weekend events optionally.

Skill Development

Through this role, the student will gain hands-on experience in:

· Web design and content management (through Terradotta)

· Data management and Excel-based analysis

· Administrative organization and program planning

· Professional communication and advising

· Team collaboration and event coordination

REQUIRED QUALIFICATIONS

· Must be a current undergraduate at Seton Hall University

· Strong written and verbal communication skills

· Excellent organizational and time management abilities

· Positive attitude and strong work ethic

· Ability to work independently and as part of a team

· Willingness to learn and take initiative

 

Must be enrolled in a matriculated program and registered at least half-time for Fall 2026

DESIRED QUALIFICATIONS

· Participation in one or more Seton Hall Study Abroad programs

· Previous work, internship, or club experience involving leadership or responsibility

· Familiarity with Microsoft Office (especially Excel) and/or database systems

SPECIAL INSTRUCTIONS

· 12–15 hours per week (maximum 20 hours per week possible)

· Hours must be scheduled between 9:00 AM and 5:00 PM, Monday through Friday

· Students will create a flexible schedule within these hours that work well with their schedule

· Weekends and Evening events may be requested but remain optional

· Summer Availability may also be requested but remains optional
