Position Function:
Assists Deputy Athletic Director of Strategic Initiatives & Administration with preparing Athletic Director for speaking engagements and various projects; assists with office and department operations; assists with organizing and coordinating events and reunions and donor relations for Athletic Department.

Essential Duties and Responsibilities:
• Assist with stakeholder relations and engagement as directed by the Deputy Athletic Director.
• Support meeting preparation and conduct research as assigned by the Deputy Athletic Director.
• Assist in hosting visitors of the Athletic Director and provide support as needed.
• Support the Deputy Athletic Director and Athletic Director at athletic events.
• Coordinate with the Administrative Operations Manager on events and initiatives.
• Support special projects under the Athletics Department Staff Council (ADSC), including planning and execution.
• Assist in the execution of logistics and preparation for department wide staff meetings.
• Assist in setting up new hires in Teamworks and coordinating onboarding documentation.
• Assist with data entry and updates in Teamworks, including but not limited to processing of perpetual forms, overtime authorizations, title changes, and volunteer forms.
• Support onboarding and offboarding processes by maintaining and managing checklists and tracking task completion.
• Manage and organize personnel files.
• Monitor and maintain departmental tracking systems.
• Maintain and update department wide communications lists.
• Assist with the development and distribution of SWAY and other internal communications.
• Assist in managing office operations, including supply ordering, maintenance coordination, and general office upkeep.
• Provide general office support such as answering phone calls, responding to emails, and managing inquiries.
• Perform related duties as assigned.

Minimum Qualifications:
Bachelor's degree in related field
Preferred Qualifications:
Degree in Business, Public Relations, or related field
Knowledge, Skills, and Abilities:
• Excellent oral and written communication skills.
• Ability to communicate with various constituents.
• Ability to foster a cooperative work environment.
• Ability to work long hours, including nights and weekends.
• Knowledge of NCAA and SEC rules and regulations.
Working Conditions and Physical Effort
• Frequent external imposed deadlines; set and revised beyond one’s control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
• Occasional and/or light lifting required.
• Limited exposure to elements such as heat, cold, noise, dust, dirt, chemicals, etc., but none to the point of being disagreeable. May involve minor safety hazards where likely result would be cuts, bruises, etc.
• Job frequently requires sitting, reaching, talking, hearing, handling objects with hands.
• Job occasionally requires standing, walking, stooping/kneeling/crouching/crawling, and lifting up to 25 pounds.
• Vision requirements: Ability to see information in print and/or electronically.
