The Office Associate serves as a key point of contact for the Office of Fraternity & Sorority Life & Center for Student Activities suite helping with questions, concerns, and providing general information. Working in a fast-paced environment at a large public university, this role provides exceptional customer service. The Office Associate plays an important role in supporting the student experience, university events, and internal department operations.

Salary Grade:  09

Essential Duties and Responsibilities:

Front Desk Operations: Serves as a primary point of contact for the Office of Fraternity & Sorority Life and Center for Student Activities. Answers phones, responds to emails, sorts incoming and outgoing mail for distribution, greets visitors, and provides accurate information related to campus events, services, and university policies.

- Clerical Duties: Helps with the reconciliation in areas that can be confidential in nature such as, but not limited to procurement cards purchase, simple billing, cash receipt activities, and travel arrangements.

- Administrative Support: Generates reports, maintains filing, and assists with office purchases. Ensures all policies and procedures are followed in all five of the departments served by the central business group. Assists in creating and maintaining office manuals.

- Office Management: Operates standard office equipment and assists with general office functions, including ordering supplies and maintaining organized files and records.

- Miscellaneous job-related duties as assigned.

Minimum Qualifications:

High Diploma or GED

Preferred Qualifications:

3 years of experience in directly related areas and duties.

Knowledge, Skills, and Abilities:

Ability to maintain records
Maintain and schedule appointments
Organize and coordinate meetings
Superior written and verbal skills
Proficient in basic office equipment and software applications.

Working Conditions and Physical Effort

-Be able to occasionally lift up to 20 lbs
-Typical work schedule is Monday - Friday from 8am - 5pm. However, some nights and weekends may be required occasionally.
