The Program Coordinator for the Office of the Provost and Executive Vice President will support the vision and mission of the Provost Office by managing projects, assisting with basic business functions, and providing basic office administrative support..

Salary Grade:  14

Essential Duties and Responsibilities:

1. Coordinates and manages low-enrollment review processes for academic courses across all academic terms; develops tracking processes, monitors enrollment status, and follows up to support timely course enrollment decisions.
2. Manages electronic forms (eForms) processing ensuring accuracy, completeness, and timely routing for approvals; resolves issues, and supports continuous workflow.
3. Supports the maintenance web-based faculty database, including data entry, updates, and report generation; collaborates with ITS to support system functionality.
4. Serves as backup for inventory control, including tracking, documentation, and coordination as needed to support office operations.
5. Provides backup support for travel, including travel authorizations, reimbursements, and compliance with university travel policies during periods peak workload.
6. Assists with budget review and reconciliation, supporting short turnaround timelines and coordinating with Academic Fiscal Affairs to ensure deadlines are met.
7. Provides operational support across multiple projects and initiatives within the Office of the Provost and Executive Vice President, contributing to workload balancing during high-demand periods.
8. Performs other duties as assigned.

Supervisory Responsibility
This position does not have supervisory responsibility.

Minimum Qualifications:

Bachelor's degree in accounting, finance, business or management and 1 year of experience directly related to the duties and responsibilities specified.

Knowledge, Skills, and Abilities:

• Knowledge of academic administrative operations, enrollment processes, and university business procedures.
• Skill in coordinating multiple projects, workflows, and deadlines in a fast-paced, high-volume environment.
• Strong written, verbal, and interpersonal communication skills, with the ability to work effectively across organizational levels.
• Analytical and problem-solving skills, including the ability to monitor data, identify issues, and support decision-making.
• Ability to work independently, adapt to changing priorities, learn new systems, and maintain accuracy and confidentiality.

Working Conditions and Physical Effort

• No or very limited physical effort required.
• No or very limited exposure to physical risk.
• Work is normally performed in a typical interior/office work environment.
