The Alumni Engagement team at Rollins College is looking for a motivated, detail-oriented, and relationship-driven Coordinator to join our dynamic team! If you thrive in a collaborative environment and are passionate about building meaningful connections with alumni, we’d love to hear from you.
This position coordinates and plans Alumni Professional Development / Personal Enrichment, one of the three pillars of the Alumni Engagement Strategic Plan. This focus includes facilitating alumni volunteerism and connection within campus and among current students.
The Coordinator has three primary target focal points:
- Support the professional and personal development programs and mentorship opportunities that serve to enrich and better our alumni’s lives in close collaboration with the Center for Career and Life Planning (CCLP) on campus.
- Identify and ideas and assist in the execution of relevant and engaging digital programming for our alumni network such as faculty webinars, alumni-hosted panels, or virtual networking gatherings.
- Provide support for the operations of the Alumni Engagement team, with a focus on volunteerism needs within the department first and general administrative work second.
Primary Responsibilities:
- Volunteer Coordination: Utilize the volunteer software on campus and working with staff partners, oversee the process for recruiting, vetting, training, and deploying volunteers. Act as main point of contact for volunteer management tied to the donor experience, working closely with front line fundraisers to facilitate volunteer experiences for a curated list of alumni. Create materials that are clear, concise, and relevant to share with alumni. Follow up with volunteers to learn from their experiences to further strengthen the program.
- CRM Utilization: Master the on-campus CRM (customer relationship management software) to ensure alumni volunteers have a smooth and seamless experience from start to finish.
- Programming: Create and execute programs based on the needs and wishes of the Alumni market and the College’s strategic priorities; highlight faculty and students where relevant to introduce alumni not only to life-long learning and peer networking but also the life of the College today.
- Support the Alumni Board’s Professional Development Committee and the Professional Development Committee.
- Plan and execute engaging programs and events that support alumni professional and personal development.
- Coordinate volunteer opportunities by working with frontline fundraisers and maintaining records of alumni involvement.
- Collaborate with the Center for Career and Life Planning by supporting alumni mentorship initiatives and helping promote the Career Champion program.
- Work closely with colleagues across departments to ensure smooth communication and coordination for shared projects and events.
- Conduct basic research on trends and best practices in professional development to inform programming.
- Participate in the development of brief surveys to understand programming and networking benefits sought after by alumni.
- Assist with Giving Day and other alumni giving initiatives by supporting volunteer efforts and helping with event logistics.
- Support the planning and execution of Alumni Weekend under the guidance of the Assistant Director, including coordinating volunteers and managing event details.
- Represent the Alumni Engagement team at campus and community events.

Minimum Qualifications & Education:
|
- Bachelor's degree from an accredited college or university.
|
Preferred Qualifications:
|
- Work experience with Alumni events and/or volunteer management.
- Work experience in higher education or nonprofit organizations.
|
Knowledge, Skills, and Abilities:
|
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong interpersonal and communication skills - Ability to build positive relationships with alumni, volunteers, and campus partners.
- Organizational and time management skills - Capable of managing multiple tasks, events, and deadlines with attention to detail.
- Event coordination support - Experience or interest in assisting with planning and executing events, both virtual and in-person.
- Team collaboration - Works well in a team environment and is comfortable taking direction and contributing to group efforts.
- Customer service orientation - Friendly, responsive, and professional when interacting with alumni and other stakeholders.
- Adaptability and flexibility - Comfortable with shifting priorities and learning new systems or processes as needed.
- Eagerness to learn - Open to feedback and committed to professional growth.
- Initiative - Takes ownership of tasks and seeks opportunities to contribute.

Work Environment:
|
- Campus-based, front-facing customer service position, working in an office environment.
- Regular use of a computer and databases.
- Must be able to work flexible hours, which include evenings and weekends, based on business needs.
