Job Summary:
|
The Rollins College Finance Department is seeking a service-oriented Accounting Assistant to join their team.
Primary Responsibilities:
- Audit and approve invoices, advances and expense reports in the college’s expense management platform for business purpose, reasonableness and tax implications.
- Audit PCard transactions/reports ensuring allocation of bank credit card charges is accurate and complies with documentation standards and approvals.
- Ensure expense and invoice items include proper accounting allocation codes.
- Communicate with vendors or other College departments when documents submitted are incomplete or inconsistent.
- Research and resolving invoice/reimbursement discrepancies and issues.
- Investigate and resolve ACH and physical check returns.
- Evaluate and reconcile all vendor statements.
- Maintain and update vendor data in ERP system.
- Perform new vendor setup including managing W-9/ACH form acquisition.
- Validate and update vendor ACH information in ERP system.
- Reconcile travel advances and process related entries as needed.
- Provide direction to College departments and vendors regarding payment terms and policy interpretation.
- Assist in annual issuance and reporting of IRS 1099 Forms.
- Serve as Accounts Payable & Financial Services Coordinator backup (this includes weekly vendor payment processing) during absence.
- Communicate with internal and external constituents to resolve payment delays or discrepancies.
- Maintain a working knowledge of Rollins College policy and procedures.
- Use financial systems for data entry and processing.
- Provides support and documentation on internal processes for accounts payable as required for audit purposes.

Minimum Qualifications & Education: |
- High School diploma or equivalent.
- At least three years of job related experience.
|

Knowledge, Skills, & Abilities:
|
- Knowledge of bookkeeping and accounting principles and practices.
- Proficiency with personal computers and desktop software for spreadsheet, database management, data access, and reporting.
- Well organized with the ability to manage multiple tasks simultaneously.
- Knowledge of rules and regulations pertaining to financial records.
- Ability to perform work involving written numerical data and to make arithmetic calculations rapidly and accurately.
- Ability to use automated equipment.

Work Schedule:
|
- The Accounting Assistant role is a full-time, 12-month appointment, scheduled to work 37.5 hours per week, 1,950 per year.
- Standard schedule is Monday through Friday, 8:30 AM – 5:00 PM. A 1-hour unpaid lunch break is provided daily.
- Flexible schedule or overtime may be required to meet business needs during evenings or weekends.

- Campus-based, front-facing customer service position, working in an office environment.
- Prolonged periods of sitting at a desk and visual strain working on a computer.

Employment Eligibility:
