Position Summary
Salary: $64,400 - 78,700 annually depending on experience. The Asset & Preventative Maintenance (PM) Administrator develops, documents, establishes and manages the preventive maintenance program for all facility and utility systems, including but not limited to, refrigeration, heating, ventilation, and air conditioning (HVAC), steam, condensate, plumbing, fire protection, and electrical systems using a Computerized Maintenance Management System (CMMS). They ensure accurate and timely collection of equipment data, recorded in the CMMS for easy retrieval and maintenance tracking. This role collaborates with IPF and facilities management staff to develop, implement, and monitor PM programs. They review manufacturer's manuals to determine optimal PM task frequency, distribute maintenance work, compile performance data, evaluate the program, and recommend improvements. The Administrator also works with the asset mapping team, service level agreement development, maintenance technicians, supervisors, and project managers to assign appropriate PM levels for new construction and renovation projects. Additionally, they supervise student and temporary employees assisting with administrative and data entry tasks related to the PM program.
Job responsibilities are as follows:
30%: Lead program administrator overseeing the process of maintaining over 120,000 facilities equipment records in the computerized maintenance management system (CMMS, using Planon) across all skilled trades in IPF Maintenance Services, including day to day supervision of asset management students and temporary aides.
30%: Administer and oversee the assignment, scheduling, tracking, updating, and reporting on preventive maintenance data for operational coordination and regulatory compliance as required by State and Federal agencies; critical scheduling of preventive maintenance work orders on behalf of IPF Maintenance Services, IPF Safety, IPF Setup, Student Life and Engagement (as requested), and specialty customer needs, as appropriate.
15%: Generates asset data / information for the creation of reports and presentations; carryout data analysis, and development of facilities key performance indicators (KPIs) in support of organizational strategic decision making.
15%: Oversee the tracking of regulated systems (water treatment, fire extinguishers, refrigerant compliance, boiler CSD-1, backflow preventer) and establish PM procedures for new assets and work with Maintenance Services/Service Level Agreements Coordinator to ensure the appropriate level of PM is applied to existing assets.
10%: Engage and lead special projects regarding Asset Management that support IPF's mission, vision, and values (e.g.- Facilities Connect, AppTree, Asset Data Collection Initiative, Service Level Agreements, etc.).

Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business, Facilities Management, Statistics or Mathematics with relevant course work in computer programming; three to five years of related and progressively more responsible or expansive work experience in programming, statistical methods, data base management or data collection; or an equivalent combination of education and experience.
Desired Qualifications
Knowledge of and familiarity with facilities, facilities systems, and facilities systems components; knowledge of computerized maintenance management systems (such as Planon) / document management system (such as BlueClio) / process management program (such as Nintex Promap) / refrigeration tracking system (such as Trak-REF); ability to utilize computer applications such as Microsoft Word, Excel, PowerPoint, Forms, Power Automate, Access, Power BI software; knowledge of data management/analysis principles and methods; demonstrated strong customer relations and organizational skills; ability to read, interpret, and apply related industry recommendations and standards. Facilities management certification/accreditation and/or knowledge of the commercial building operations and maintenance a plus (ie, familiar with APPA, BOMA or equivalent of either).
