Position Summary
Salary: $62,800 - $76,700 annually depending on experience. The Supervisor of the IPF Materials and Logistics Department manages receiving, warehousing, procurement, tool room, logistics, and distribution operations. The department supports campus skilled trades by ensuring timely issuance and procurement of goods and services, complying with University Procurement and Logistics policies and the MSU Manual of Business Procedures. The supervisor coordinates with Purchasing/University Services for receiving goods per Purchase Order specifications, executes efficient inventory management, and ensures FIFO stocking. They control product losses, plan and supervise second shift operations, and assist the vehicle fleet manager for multiple IPF departments. The role includes developing staff, managing HR issues, maintaining risk management strategies, implementing best practices, and developing systems and procedures. The supervisor monitors progress, conducts performance analysis, and performs annual reviews, aligning goals with the division's Mission, Vision, and Values.
Job responsibilities are as follows:
40%: Supervise Special Order Procurement and Contracts, Inventory Control and Procurement, Tool Room Checkout & Procurement, and Mail Route and Downtown M&L Material Pick-up. Recruit, interview, and hire new staff, including members of CTU, APA, and 1585 unions. Set goals and development plans for new hires and conduct their orientation (onboarding). Develop employees by managing their time, work, schedules, absences, metrics, recognition, discipline, and overall performance. Set Performance Excellence goals and Professional Development plans, conducting annual reviews. Track progress on identified goals and development monthly through metrics, holding staff accountable. Work with staff on continuous improvement activities, including professional development and work-related improvements.
30%: Manages and creates IPF Material and Logistics Departmental Metrics, Goals, and Continuous Improvement. Creates monthly, quarterly, and annual metric reports. Including cost saving tracking and goal setting, tracking total spend, number or PO's, and time to place order measurement. Lead departmental special projects.
10%: Takes customer orders and processes and issues PO's, P-card, or strategic contracts. Provide order feedback to customers. Distribute purchasing information to all parties including customers, vendors, sales reps, and buying staff. Reviews and evaluates purchase request forms for accuracy and completeness.
10%: Manage DEI Supplier Program for Materials and Logistics. Serve on IPF Supplier Diversity Committee. Assign DEI related goals to all buying staff. Measure, track, and improve metrics. Create diverse spend reports capturing overall spend, number of vendors, and breakdown of diverse designations. Attend bi-weekly meetings. Take DEI related training. Attend Diverse vendor and trade fairs.
10%: Assist Fleet Management of IPF vehicles, to include specifying vehicles, upfitting, creating quote requests, analyzing bids, and facilitating the movement of vehicles.

Minimum Requirements
The job requires and must be reflected in the cover letter and/or resume the following minimum requirements:
knowledge equivalent to that which would be acquired in the first two or three years in college, technical, vocational or business school with a focus in Business, Supply Chain, Packaging, Communications, Engineering, or related field. One to three years of related and progressively more responsible or expansive work experience in procurement, warehousing, and or inventory operations. One to three years of experience in utilizing Facilities Management software. One to three years of experience in supervising a materials management operation related to maintenance commodity. Demonstrable experience in the use of spreadsheets, word processing, and chart creation. Must be able to develop basic mathematical calculating formulas in Excel. Must drive a university vehicle and meet the university's safe driving standards to perform the duties of this position, including a valid vehicle operators license at the time of hire.
Desired Qualifications
Bachelor's degree in Business, Supply Chain, Packaging, Communications, Engineering, or related field. Three to five years experience of purchase order/inventory systems, warehousing, and related control software. Proficient technical knowledge in Excel, Word, PowerPoint, and report writing software. Strong verbal, written, and presentation skills. Demonstrated problem solving, teamwork, employee development, and project management experience.
