Position Summary
Front Desk and Office Operations - 40%
- Serve as the primary receptionist for the Dean’s Office, greeting and screening visitors, customers, and university stakeholders in a professional and welcoming manner.
- Coordinate daily office operations, ensuring smooth functioning of the front desk and communal spaces.
- Manage office supplies, equipment, and inventory, including processing purchase orders and overseeing annual licensing renewals.
- Maintain and schedule conference rooms, ensuring they are prepared for meetings and events.
- Handle general office maintenance tasks, such as coordinating cleaning schedules and addressing minor office needs.
Administrative Support for Leadership - 20%
- Provide administrative support to senior leaders, college-level directors, and Dean’s Office employees including travel support and reimbursements as necessary.
- Manage complex schedules, including calendar coordination, meeting planning, and travel arrangements (booking and reconciliation).
- Provide administrative support that could entail gathering information, drafting correspondence, preparing reports, and tracking deliverables.
General Administrative Support – 40%
- Support the Dean’s Office faculty and staff, including the Academic Operations team, by preparing documents, maintaining department files, coordinating room and lab scheduling, and assisting with special projects as needed.
- Support the Marketing and Communications team on select administrative matters such as inventory management for both marketing and promotional materials and the Broad College’s online storefront.
- Act as a resource for inquiries, directing them appropriately and ensuring timely follow-up.
- Coordinate with other departments and stakeholders to ensure alignment on administrative needs and projects.
- Provide administrative support for departments and units on an interim basis during times of staff transitions.
- Other duties as assigned.
Minimum Requirements
knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; six months to one year of related and progressively more responsible or expansive work experience in customer service or in performing tasks related to the area of employment; or an equivalent combination of education and experience.
