Position Summary
Develops, plans, coordinates, and manages the daily administrative operations and event activities within the Dean's Suite of the College of Engineering. Maintains operational and event records, oversees logistics, ensures alignment with College priorities, and coordinates assigned projects. Provides strategic support to senior leadership and ensures high-quality service delivery.
This position is primarily in person due to its high level of engagement with daily operations and campus partners. While the College of Engineering embraces a hybrid work model to support flexibility, any remote work must align with the responsibilities of the role and is subject to mutual agreement with the supervisor based on departmental needs.
Key Responsibilities
Event Planning and Execution:
- Design, develop, and execute a wide range of events that support the College of Engineering’s strategic initiatives.
- Events may range from large college-wide gatherings to smaller, specialized activities tailored to specific audiences.
- Oversee all aspects of event logistics, including venue selection, contract negotiation, vendor coordination, catering, technology setup, marketing, and on-site execution.
- Develop event timelines and manage task lists to ensure all event elements are executed on schedule.
- Monitor event budgets and expenditures, ensuring alignment with College priorities and cost-effectiveness.
- Serve as the primary point of contact during events, troubleshooting issues as they arise, and ensuring a high-quality attendee experience.
- Conduct post-event evaluations and prepare reports summarizing successes, challenges, and recommendations for future improvements.
Project Coordination and Strategic Support:
- Coordinate and track progress on special projects assigned by the Chief of Staff and senior leadership.
- Develop project plans, manage timelines, and ensure deliverables are completed accurately and on time.
- Collaborate across departments and units to align project objectives with the College's goals.
- Conduct research and prepare summaries, reports, and presentations to support strategic planning.
- Analyze operational and engagement data to inform decision-making and continuous improvement efforts.
Operational Oversight and Business Process Management:
- Lead and manage the daily administrative functions of the Dean's Suite.
- Serve as the primary point of contact for the Dean’s Office, including managing the College’s lost and found.
- Develop, implement, and refine standard operating procedures (SOPs) to enhance operational efficiency and consistency.
- Respond to operational issues promptly and coordinate necessary resources to resolve concerns.
- Manage space reservations, technology needs, office supplies, and general suite logistics.
- Coordinate calendars and travel arrangements for select members of the Dean’s Office leadership team.
- Act as a liaison with university service units, vendors, and external contacts to fulfill operational needs.
Minimum Requirements
Knowledge equivalent to that which would normally be acquired in a four-year college degree in Public Relations, Communications, Hospitality, Business or in an area related to the work being performed; one to three years of related and progressively more responsible and expansive work experience in a field related to the position including planning and managing special events; or an equivalent combination of education and experience. Experience in word processing, database, spreadsheet, desktop publishing, and/or presentation software.

- Self-starter with strong organizational skills and the ability to work independently and collaboratively.
- Knowledge of MSU brand standards
