Position Summary

Responsibilities 

  • Provide timely and accurate clerical support to administrators in the Dean's Office. 

    • Perform tasks such as calendaring, managing email and central inboxes, answering and directing phone calls, maintaining records (files, websites, databases, information systems), writing and distributing correspondence, proofreading, ordering supplies and food, processing travel requests and reimbursements, scheduling rooms, sorting and delivering mail, and processing various forms. 

    • Support events, programs, and committees. May include completing tasks for the staff advisory committee, new student orientation, colloquium, awards, scholarships, admitted students’ day, DEI events, and commencement. 

    • Assist with maintenance and data integrity of the Student Information System (SIS). 

  • Deliver customer service and support to students and external guests at the Dean’s Office. 

    • Greet and welcome guests, check in appointments and walk-ins, assist with wayfinding, and answer or triage questions. 

    • Send correspondence and notifications through Student Information Generator. 

  • Supervise the clerical support team and delegate work to meet office needs. 

    • Oversee daily operations and anticipate workflow demands. 

    • Allocate resources based on assignment priorities. 

    • Assign tasks according to staff capacity, competencies, and expected outcomes. 

    • Foster a culture of excellent customer service, teamwork, and collaboration. 

    • Develop and reinforce work instructions and processes that ensure accuracy and productivity. 

    • Promote staff development by providing regular feedback and coaching. Complete annual performance evaluations on time and in compliance. Address performance concerns with appropriate consultation. 

    • Coordinates and participates in hiring, onboarding, and training new clerical staff. 

  • Stay engaged with MSU and college-level updates. Keep up with news and announcements, attend staff meetings, and pursue training and development opportunities. 

  • Perform other duties as assigned, consistent with the responsibilities of this job classification.

Minimum Requirements

Knowledge normally acquired from specialized training such as that acquired in Business and Office Management; one to three years of related and progressively more responsible or expansive work experience in supervision, office management, budget preparation, financial and administrative record-keeping and secretarial skills; experience in word processing, spreadsheet, database, desktop publishing, and/or web page design or presentation software; or in performing responsibilities related to the operational activities of the employing unit; and requires one to three years of supervisory experience; or an equivalent combination of education and experience.

Desired Qualifications

Two or more years of experience in:  

  • Managing employees and delegating tasks.  

  • Supporting multiple administrators and leaders in a professional setting. Preference given to Dean's office experience.   

  • Clerical and administrative project management for short- and long-term projects. 

  • Using Microsoft Office suites, Oracle PeopleSoft Campus Solutions, or other Student/Enrollment Management Systems, and AcademicWorks software or other scholarship award systems.  Must have experience using SIS. 

  • Interpreting and applying institutional policies and procedures, and other relevant regulatory or compliance requirements.
