Position Summary
Facilitates the day-to-day operations of the CVM Dean’s Office by providing support to the dean and the business (Financial, Human Resources, and Administrative) operations of the college.
- Dean’s Office Support: administrative resource to CVM Dean, including prepares and/or assists in developing and compiling analytical reports, performs financial analysis, runs and distributes reports in support of grant and research units, serves as gift and endowment analyst, processes purchase orders and vouchers, fund transfers, budget allocations, intra-account adjustments, vendor setups, and journal entries in alignment with MSU accounting standards, and supports various financial projects.
- Provides comprehensive administrative support to the CVM Dean’s Office, including researching and collecting data, completing and coordinating project work, and meeting scheduling. Drafting and editing communications such as announcements and memos, manages front-line inquiries, and liaises with university personnel, students, external agencies, and the public. Supports daily business operations such as supply ordering, P-card purchases, equipment and facilities coordination, and college key/ badge access. Offers ongoing guidance to CVM departments on university policies and procedures, including those related to accounting, finance, and travel.
- Oversees and supports various human resources and financial projects both recurring and ad hoc: e.g. payroll processing, interview scheduling and follow-up, planning and supporting training sessions, drafting or reviewing and sending communications, travel arrangements, etc.
- Performs other duties as assigned.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school in Finance, Accounting, or Business Administration; six months to one year of related and progressively more responsible or expansive work experience in customer service or in performing tasks related to the area of employment; or an equivalent combination of education and experience.
Desired Qualifications
Experience in working with EBS systems such as SAP and KFS; experience with Microsoft Office Suite including Word, Excel, Access, Power Point; experience with using Outlook and other scheduling tools; demonstrated ability to handle multiple tasks, details, and prioritize work to meet deadlines; demonstrated excellence in communication, organizational, and interpersonal skills and ability to interact with varied constituents in a timely courteous and professional manner; ability to interpret information in order to coordinate projects and respond to questions; demonstrates a work orientation that includes problem solving, teamwork and adaptability to change, focus on service, and continuous learning for self-improvement; experience in event planning.
