Position Summary

Salary: $16.90 - $21.09/hour, depending on experience. This position is eligible for remote work upon completion of a successful probationary period, or with supervisory approval. 

Hidden Lake Gardens is a 755-acre botanical garden and arboretum located in Tipton, MI. As a Michigan State University facility, HLG offers a year-round public conservatory, plant collections, gardens, hiking trails, meadows, and woodlands. HLG strives to connect, engage, and inspire people by the beauty of plants and the natural world. The Office and Membership Assistant plays a vital role in supporting the daily operations and community engagement efforts of Hidden Lake Gardens. This position is responsible for managing membership services, providing administrative support, and delivering exceptional customer service to visitors and members. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively across departments to ensure smooth office operations and a positive visitor experience. The successful candidate would serve as an engaging and accessible ambassador of Hidden Lake Gardens and Michigan State University. The breakdown of job duties are as follows:

40% - Clerical and Administrative Duties - Customer service, phone/mail handling, general administrative support, equipment maintenance, and document updates. Regularly creates reports on membership, admissions, and attendance. Monitor and maintaining office supplies and materials.

35% - Membership Coordination - Processing memberships, managing databases (Smartsheet, Constant Contact, etc.), generating reports, and coordinating correspondence with members and prospective members.

15% - Cash Handling and Retail Support - Cash drawer setup, reconciliation, bank deposits, backup at the Hidden Lake Gardens Gatehouse, Gift Shop, and Skywalk as needed.

10% - Event and Program Support - Assist with planning and executing events and programs.

Regular attendance is required to meet business and customer needs. This position will engage in high performing, leading edge practices, valuing people, partners and stewardship. Minimum Requirements

Knowledge normally acquired through a high school education; six months to a year of related and progressively more responsible or expansive work experience in typing, spreadsheet software and word processing; experience as a Cashier/Teller and in bookkeeping/accounting procedures and/or technical training related to public gardens, arboretums, museums, or related membership services at a non-profit organization; or an equivalent combination of education and experience. A valid vehicle operator's license is required to fulfill the duties of this position.

Desired Qualifications

A successful candidate would have excellent communication skills; verbal, written, and technical. Familiarity with Smartsheet, Constant Contact, Transact, and/or other similar programs for communication and membership outreach. Proficiency with the Microsoft Suite is preferred. The ability to work well with time constraints, schedules, and competing priorities in a multi-tasking environment. Experience working in a non-profit or university environment with the goal of supporting community and education. Experience working in retail with the ability to handle cashier duties and identify valid U.S. Currency. The ability to collaborate with others on the Hidden Lake Gardens team to reach the unit's desired goals.
