Position Summary

Position summary:

The MSU School of Social Work is dedicated to educating students for ethical, competent, responsive, and innovative social work practice, and to conducting and disseminating high quality research that improves the well-being of the most vulnerable in society. Our teaching, research, and outreach synergistically promote social justice, positive change, and solutions to the problems facing diverse individuals, families, groups, organizations, and communities. More than 700 students are enrolled in our CSWE-accredited BASW, MSW, and PhD programs.

Position Description: 

Primary responsibilities are to serve as the Office Assistant for the Director of the School of Social Work. Coordinates and maintain the directors calendar, scheduling meetings and events, travel, etc. This also includes reviewing calendar and prepping in advance to inform the director of upcoming meetings and events. Reviews, interprets, and summarizes materials to keep the director informed of pertinent events and information. Requires the ability to interact professionally with students, faculty, staff, and visitors. Demonstrated ability to manage multiple tasks and priorities with minimal supervision and the ability to handle confidential and sensitive information with discretion. Gathers, screens, and relays sensitive information received from university executives, staff members, and visitors; prioritizes and responds to inquiries for the Director. Sorts, reviews, and directs directors mail including drafting responses and maintaining logs to track delegated matters. Assists and oversees charitable donations funding accounts, including initiating correspondence to donors; maintains and tracks charitable donations database to create and generate financial reports. Assists with reappointment and promotion processes and materials. Assists search committees for new faculty hires, establish and maintain records of applicants, arranges all travel for candidates. Assist with project development and monitors, analyzes, and reconciles related records; creates database for new projects. Attends meetings with Director to take meeting minutes. Completes work with frequent interruptions, handles diverse and multiple tasks and details; prioritizes work; maintain directors office files; additional duties as assigned. Order and maintains supplies and promotional items for the school. Maintain Supply Room. Sets up guest parking passes. Collects course syllabi; assist with data entry for course scheduling. Other duties as assigned by Supervisor. 

Minimum Requirements

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in maintaining account ledgers, departmental operations, employment, or in performing tasks related to the area of employment; experience in word processing, editing and composing correspondence, and maintaining spreadsheets and/or databases; or an equivalent combination of education and experience 

Desired Qualifications

Bachelor's degree in Human Services or Business with three to five years of related and progressively more responsible or expansive University work experience in university systems, experience with Microsoft Word, Excel, Access, Microsoft Teams, Publisher, PowerPoint software, EBS, and Kuali; knowledge of University policies and procedures; ability to interpret information in order to coordinate projects, detail-oriented, excellent communication, grammar, writing and editing skills, strong interpersonal skills, ability to manage highly sensitive and confidential information and the need for discretion.
