Position Summary
The successful candidate will assist the chairpersons in personnel, and administrative activities to enhance and align with the strategic and operational planning initiatives and directions.
Duties include Serving as Human Resources (HR) lead for the Departments of LCS, PDI, SCS. Assist with the day-to-day operational activities, which includes oversight of human resources, reporting, authorization of HR functions for more than 150 Faculty, Academic staff, Support staff, students, temporary and on-call employees for three complex units.
- Plan, direct, and manage the human resources activities, including overseeing the coordination of national faculty searches, hiring of faculty and staff, and assisting with the promotion/tenure review process and raise processes.
- Review all personnel actions for uniformity and conformance to policy and recommend changes and implements new policies and procedures.
- Respond to questions, understand timelines, and monitor the status of faculty hired on a visa.
- Supervision of some support staff, including hiring, evaluating, and directing the work for those individuals.
- Participate in the development of administrative goals and planning procedures.
- Maintain unit personnel records, files, and databases.
- Oversee the billing/invoicing and receivables processes and procedures for the service and research centers of the unit.
- Manage the physical facilities for the unit, including space planning, coordinating office and laboratory relocations, general maintenance, office renovations, and capital asset management.
- Assist with clerkships and graduate courses as needed and act as a liaison to problem-solve and connect team members with resources across campus.
- Assist with planning and managing the budget process and; provide support to the budget manager to assist them in planning.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Accounting or Human Resources field; five to eight years of related and progressively more responsible or expansive work experience in office procedures and administration, or in performing responsibilities related to the operational activities of the employing unit; experience in a supervisory role; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.
Desired Qualifications
Bachelor's degree in accounting, or business; advanced degree not required but a plus. A minimum of five years of experience in an academic unit as a fiscal officer; unit/departmental budget experience as a budget/financial manager in a higher education college or university; experience with academic and non-academic human resources, personnel management, and supervision of support staff; demonstrated excellence in leadership, communication, critical thinking and analytical skills; ability to interact with varied constituents in a timely, courteous, and professional manner; ability to handle multiple tasks, details, and prioritize work; familiarity with SAP HR/Payroll, Kuali Financial Systems, and knowledge of the Cognos Business Intelligence/Query Studio environment; experience with Microsoft Office Suite including Outlook, Word, Excel (Access, PowerPoint and Visio a plus); demonstrates a work orientation that includes problem solving, teamwork, process improvement, and adaptability to change; ability to focus on service and continuous learning for self-improvement; understanding of and appreciation for the teaching, research, and service commitments of a professional program; evidence of experience with and appreciation for diversity and inclusion.
