Position Summary
The REHS Central Administration Manager oversees daily operations for the REHS Central Administration office, including the supervision and coordination of administrative staff, prioritization of leadership correspondence and inquiries, and management of calendars, meetings, and communications. The REHS Central Administration Manager exercises independent judgment in interpreting and applying university and departmental policies, maintaining confidentiality in all matters, and supporting efficient executive workflows. This role manages the flow of sensitive and confidential information between internal and external stakeholders, ensuring accuracy, discretion, and responsiveness at all times.
A self-guided leader, the REHS Central Administration Manager takes initiative, anticipates needs, and demonstrates sound judgment in managing sensitive and confidential matters. The position contributes to a culture of collaboration and service excellence, ensuring that the operations of REHS Central Administration are efficient, responsive, and aligned with departmental goals. The Manager develops and synthesizes materials for executive leaders, including reports, talking points, and meeting documentation, and plays a key role in project management, event coordination, and follow-up execution.
Reports to the REHS Chief of Staff and supervises two secretary positions.
CHARACTERSITIC DUTIES – RESPONSIBILITIES:
- Acts as a liaison for the REHS Central Administration to internal and external constituencies while ensuring that strict confidentiality is maintained in the interpretation and dissemination of information.
- Supervises, schedules, prioritizes and assigns the work of REHS Central Administration Secretary IIIs.
- Gathers, screens and relays sensitive information received from university executives, staff members and visitors including student supports/families.
- Prioritizes and responds to inquiries for REHS leaders including the Assistant Vice President, Director and Chief of Staff.
- Maintains the Assistant Vice President and Director’s calendars and coordinates timely appointments to ensure time is effectively scheduled and that all requests are equitably balanced. Create and references scheduling matrix to assist with calendar preferences for each individual being supported.
- Reviews and directs the Assistant Vice President’s administrative tasks including timely acknowledgement of correspondence, drafting responses, and overseeing logs to track delegated matters. Tracks and manages all parent/student family phone calls.
- Reads and summarizes materials to keep key leaders informed of pertinent events and information including timely review of email correspondence.
- Oversees and maintains Central Administration records, rosters, and other communication mechanisms as directed by Chief of Staff.
- Ensures all agenda items submitted in a timely manner for departmental meetings and maintains all meeting minutes and records.
- Interprets University and departmental policy, protocol, and administrative procedures in response to inquiries and initiates necessary action.
- Monitors the correspondence/communication functions of the REHS Central Administration office to ensure that procedures and policies are followed, including travel reconciliation.
- Reviews and reconciles the Central Administration budget to keep informed of expenditures. Conducts timely p-card reconciliation and purchases necessary supplies.
- Attends meetings as assigned by Chief of Staff to acquire and disseminate information.
- Oversees recognition efforts by scheduling meetings, reviewing, compiling and record keeping.
- Assists with project management on departmental initiative as needed
- Performs duties normally associated with a Secretary I, II, or III to accomplish the goals of the department.
All positions in RHS are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.
Minimum Requirements
Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical, vocational or business school with coursework in office management and business; one to three years of related and progressively more responsible or expansive work experience in office management, budget preparation, financial and administrative record-keeping and secretarial skills; experience in word processing, spreadsheet, database, desktop publishing, and/or web page design or presentation software; or in performing responsibilities related to the operational activities of the employing unit; and may require one to three years of supervisory experience; or an equivalent combination of education and experience.
Desired Qualifications
- Strong background in customer service (ie. Empathy and care in solving complex customer problems)
- Strong proficiency in Microsoft Office Suite, particularly in Microsoft Teams, digital filing systems, database development + design and presentation systems
- Experience with developing reports or talking points for executive leaders
- Project management and multitasking experience
- Meeting and event management, including preparing agendas, materials, and follow-up actions.
