Position Summary
The Secretary II provides administrative, payroll, and facility scheduling support for the Department of Recreational Sports and Fitness Services. This position assists the department with student employment administration, assists the club sports director with club sport program operations (club development accounts, club travel, etc.), facility operations, and departmental communications. The role requires the ability to work independently, exercise sound judgment, and provide excellent customer service to students, staff, and campus partners.
Characteristic Duties and Responsibilities:
- Provides administrative, club sports, payroll, and facility scheduling support for the department (60%)
- Assists with student employment administration (25%)
- Provides customer service to students, staff and campus partners (15%)
Summary of Health Risks:
Standard office environment with no unusual health risks.
Working Conditions:
- This position is 100% in-person at IM East and IM Circle facilities; remote work is not available.
- Standard office environment with frequent interaction with students, staff, and campus partners.
- Monday through Friday, standard daytime office hours.
Minimum Requirements
The job requires: knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; strong written and verbal communication skills; ability to prioritize multiple tasks and work independently; excellent organizational and analytical skills; ability to maintain confidentiality and handle sensitive information appropriately; customer service oriented with ability to interact effectively with a diverse campus community; or an equivalent combination of education and experience.
Desired Qualifications
- Associate’s degree in business administration, Recreation Management, or related field preferred.
- Experience working in higher education, recreation, or athletics administration.
- Knowledge of event scheduling and coordination with Registered Student Organizations (RSOs) and club sports.
- Familiarity with Infrastructure Planning and Facilities (IPF) service request procedures and facility maintenance coordination.
- Experience with university purchasing, requisition, and budget-tracking systems.
- Previous experience training or supervising student employees.
- Experience with Ultra Time and MSU SAP or similar payroll and financial systems preferred.
