Position Summary(Basic Job Function)

This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.

Unit Position Summary

 The Office Coordinator supports the daily operations of the FAME Program by providing high-quality administrative, organizational, and event coordination support. This position works closely with the Program Director to ensure smooth program functioning, strong communication, and well-executed events and activities. The role includes both virtual and in-person work, with in-person hours determined prior to the start of each semester. 

Key Responsibilities

Administrative Support:

  • Assist the Program Director with general administrative tasks and special projects.
  • Maintain organized digital and physical files, records, and program documents.
  • Support communication efforts, including drafting emails, sending announcement, and distributing program materials.
  • Manage scheduling needs such as coordinating meetings, preparing agendas, and tracking deadlines
  • Monitor the program inbox and route inquiries as appropriate.

Event Coordination

  • Plan and support FAME-sponsored events in collaboration with the Program Director.
  • Reserve rooms, coordinate events spaces, and manage logistics.
  • Locate and communicate with presenters, facilitators, or community partners.
  • Order food, supplies, or materials as needed.
  • Draft and send event invitations, reminders, and follow-up communications.
  • Assist with day-of event setup, support, and cleanup as needed.

Program Operations:

  • Provide general front-line support for students and visitors.
  • Help ensure the office environment remains organized and welcoming.
  • Assist with tracking programs participation, engagement, and needed follow-ups.
  • Complete additional duties as assigned by the Director to support program goals.

 

Desired Qualifications

●    Minimum of two years’ experience in an administrative role
●    Proficiency in Microsoft Office, including Excel, Outlook, and Microsoft Teams
●    Strong organizational, communication, and multitasking skills
●    Ability to work independently and collaboratively in a fast-paced environment.
●    Comfortable interacting with students, presenters, and campus partners.
●    Dependable, detail-oriented, and responsive.
●    Proficient with email, scheduling platforms, basic document creation, and recordkeeping tools.
●    Experience in administrative support or event planning is preferred but not required.
