Position Summary
The Center for Bioethics and Social Justice in the College of Human Medicine is seeking an administrative professional to support our mission and foster a welcoming culture. The position will oversee the administrative and operational activities of the Center including financial, human resources and grant management. We offer a hybrid work schedule with hours on the East Lansing campus and remote.
Responsibilities:
- Oversee the administrative and operational activities of Center
- Provide administrative support to the Director and faculty
- Schedule individual and group meetings including Center monthly meeting
- Interpretation and implementation of university policies and procedures
- Create, implement and maintain unit guidelines and protocols with regards to administrative processes
- Oversee assigned space for the Center including annual review of Spartan Space assignments
- Attend and represent Center at appropriate College meetings occasionally covering for a member of the admin team
- Ensure confidentiality and privacy of employee information and organizational data
- Point person for facilities issues working independently or with College facilities personnel
- Serve as backup for CT position in Center
- Assist donors including connecting them with college advancement and receiving direct donations
- Serve as unit fiscal officer
- Oversee budget development, forecasting and reporting in budget system
- Oversight for all financial accounts
- Develop and generates financial reports for Director and faculty with special funding
- Procurement card management and oversight
- Attend financial-related meetings and trainings
- Review external service contracts and work with College Contract Administrator to obtain signatures, invoice and receipt payment
- Secure purchases of equipment and supplies for office and grants using procurement system
- Serve as unit HR administrator
- Oversee and initiate the hiring process for faculty, academic staff, support staff, temps, on-call and students including but not limited to: offers letters, appointment forms, onboarding, exits, and I-9 verification
- Coordinate faculty annual review process including collection of documents, scheduling of meetings and processing and filing documentation
- Process paperwork such as change of status, reappointments and cost distributions
- Manage faculty recruitment process including assisting the search committee with meetings and necessary paperwork
- Oversee the annual raise process
- Attend HR-related meetings and trainings
- Serve as unit grant administrator
- Post-award research support in accordance with federal, state, local and university policies, procedures and regulations
- Monitor budgets and prepares reports for faculty including close out/final reports
- Assist faculty with proposal budget for non-personnel cost
Minimum Requirements
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to bioethics and social justice; three to five years of related and progressively more responsible or expansive work experience in office procedures and administration, or in performing responsibilities related to the operational activities of the employing unit; experience in a supervisory role; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.
Desired Qualifications
Experience with MSU policies and procedures as well as systems is preferred. We use Microsoft products including Teams. Other systems include, but are not limited to: SAP, Kuali Finance, Cognos BI, Kuali Research, Zoom, Spartan Space, Power BI, Spartan Marketplace, Sitecore and Spartan Financial Navigator (Anaplan).
