| Position Overview: |
The Administrative Assistant II provides essential administrative and operational support to the Student Engagement and Belonging departments within the Dean of Students office. This role coordinates travel and purchasing, manages scheduling and communications, and assists with programming, events, and special projects that support student organizations and campus initiatives. The position also serves as a key point of contact for students, families, faculty, and staff, handling sensitive information with professionalism and discretion while helping ensure the smooth daily operation of the office.

| Responsibilities: |
- Utilize university travel and procurement systems, state purchasing card (p-card), and departmental card (d-card) to: Make travel arrangements and prepare appropriate travel forms for professional staff and student leaders in the Engagement and Belonging departments. Process procurement requests, including invoices, purchase orders and departmental fund transfers. Manage budget and reconciliation of travel and procurement activities.
- Receive and review incoming correspondence and information, including phone calls, emails, and visitors. Provides timely response to general inquiries.
- Provide back-up support as needed to the other administrative assistants in the Dean of Students portfolio.
- Assist with the management of University System of Maryland Foundation (USMF) accounts and reimbursement processes for student organizations and professional staff.
- Assist with scheduling department meetings, retreats, etc.
- Serve as an office designee for myUMBC and office administrative calendar.
- Collaborate with DOS and campus partners to plan and coordinate campus programs. Manage logistics, including room reservations, set-up arrangements, equipment, catering, ordering related supplies, contracting, and event materials.
- Oversee office operations; ensure equipment, materials, digital storage, and space are available and used efficiently and effectively.

| Required Minimum Qualifications: |
- High School Diploma or GED
- 3 years experience providing administrative support
Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
Working knowledge of and skill in the use of computer programs, including Microsoft suite, Google suite, WebEx Teams, and BOX. Skill in composing a variety of correspondence; operating office equipment; managing filing systems; gathering and summarizing information; maintaining confidentiality; handling sensitive matters with discretion and tact; interacting with students, families, public, faculty, and staff with courtesy and effectiveness; planning, organizing, prioritizing, and executing complicated and continuing assignments without instruction. Ability to communicate effectively both orally and in writing; to understand and follow oral and written instructions; to project a professional and positive image of the office and institution; to make effective oral presentations; to keep an individual's dignity central in all interactions.

| Preferred Qualifications: |
Working knowledge and experience with PeopleSoft. Supervisory experience with students or other employees. Knowledge of USM policies and procedures and the institution’s purpose, goals, and procedures.

| Salary: |
Pay Range 09 (minimum: $23.35/hour - maximum: $29.68/hour based on the University System of Maryland (USM) Pay Program.
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, Memorandum of Understanding, USM Board of Regent policies, internal equity, budget and qualifications and experience. Most salary offers will be close to the minimum part of the range.
The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
