Reporting to the Associate Dean of Academic Affairs (Vice Dean), the Faculty Support & Copy Center Coordinator will support faculty and student organizations while managing the daily operations of the Law School’s Copy Center. This role requires strong multitasking abilities, excellent communication skills, and a commitment to confidentially and service in a fast-paced academic environment.
DUTIES AND RESPONSIBILITIES (including, but not limited to):
Essential Duties:
Copy Center Operations
- Operate and maintain high-volume copy/print equipment for faculty, staff, and student needs.
- Coordinate large-scale duplication projects (e.g., exams, course materials, flyers, event documents).
- Ensure timely, accurate printing, binding, and distribution of materials.
- Monitor inventory of supplies (paper, toner, etc.); place orders and schedule maintenance.
- Troubleshoot equipment issues and coordinate vendor service and repairs.
- Handle sensitive academic materials with discretion and accuracy.
Faculty & Student Support
- Provide administrative support to faculty, including document preparation, proofreading, and organized filing to ensure efficient academic operations.
- Support exam administration and maintain student attendance records.
- Serve as the first point of contact for students visiting the Office of Student Affairs.
- Respond to student inquiries via email and in person with professionalism and courtesy.
- Hire, manage, and track student notetakers for accommodated students; ensure timely distribution of notes.
General Office Administration
- Prepare and submit expense reports and payment requests.
- Sort and distribute incoming mail; manage office supply orders and equipment upkeep.
- Contribute to the efficient operation of the front desk and handling of general correspondence.
- Provide support for evening events and extended office hours as needed.
MINIMUM QUALIFICATIONS (education/training and experience required):
Required:
- High school diploma or equivalent.
- Minimum of 2+ years of administrative experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and work independently or collaboratively.
- Commitment to diversity and inclusion in an academic setting.
- Ability to effectively navigate the technical aspects of Artificial Intelligence tools and systems.
Preferred:
- Experience in customer service or higher education.
- Familiarity with student information systems and learning management platforms.
- Use AI tools to automate tasks, manage data, and streamline workflows.
- Apply AI for smart scheduling, email automation, document creation, research, and reporting to enhance productivity while bringing strong communication, organization, and problem-solving skills.
PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:
- Some evening hours required (e.g., twice monthly until 6:15 PM).
- Occasional attendance at evening events such as orientation or award ceremonies.
- Must be able to sit at a computer and operate office equipment for extended periods.
