About the Position The Event Services Technical Coordinator leads and supervises the Event Tech Crew in delivery of technical resources that support special events and meetings at the Viking Union and other venues at WWU. This includes the setup and operation of audio and visual equipment for a wide variety of events including conferences, dinners, concerts, lectures, cultural performances, and more. The position manages, purchases, and ensures a well-maintained inventory of portable and installed equipment for Viking Union Facilities. The position supervises 12-14 student employees (including the Tech Crew Lead) duties include: hiring, training, evaluations, and providing documentation for proper technology use. The position provides assistance in the planning of logistics and service delivery for special events throughout Westerns Campus and for Western Special Events held at off campus locations.

JOB DUTIES

30% Event Technical Services

  • Responsible for quality of Technical Services provided by Tech Crew at events.
  • Review technical requirements for events and coordinates the delivery of the setup and operation of technical equipment for event planners.
  • Obtains and maintains certifications in professional audio and video delivery such as AVIXA CTS and CTS-I certifications.
  • Maintain and operate an inventory of sound, lighting, video, and power distribution equipment for the Viking Union.
  • Research additional equipment needs for events or in room audio-visual equipment, working with VU IT. Orders new equipment, installs, and trains employees on use.
  • Develops scope of work and quotes for technical support required for events, as assigned by Event Services Manager.
  • Support the Event Service Manager in the planning and logistics in delivering services for special events.
  • Efficiently troubleshoots and supports crew members with any technical issues at events.
  • May be required to work at high profile special events to ensure quality of delivery, as assigned by Event Services Manager.  

20% Daily Event Support

  • Provide daily event support for meetings and video conferences in the Viking Union.
  • Troubleshoot and resolve issues clientele face when operating audio visual equipment.
  • Maintain, replace, and install in-room audio visual equipment.
  • Produce and maintain instructions for self-service audio-visual equipment.
  • Provide technical services for indoor and outdoor events, in traditional and non-traditional venues to on campus and off campus clients.

15% Event Services Operations

  • Meet with clients and guides them through the planning, logistics and delivery of all technical aspects of event services, as requested.
  • Design and specify new portable and installed audio, video, and event lighting systems that support event spaces and service delivery.
  • Calculate billing and charges, input event technical charges into event software for monthly invoicing as completed by the Event Services Manager.
  • Support other event logistics as assigned.

30% Supervision of Tech Crew

  • Implement hiring process for student employees, leading search committee and aiding in selection.
  • Supervise 12-14 student employees providing training, guidance, and evaluation of work using student competency areas.
  • Lead weekly Tech Crew staff meetings.
  • Set weekly schedule for student technicians in the set up and operation of audio and visual equipment and power distribution for events and meetings.
  • Provide training to student technicians that develop professional skills to independently and safely set up and provide sound and lighting reinforcement for events.
  • Create and maintain documentation for student employees on the proper operation of equipment.
  • Develop training and educational opportunities to ensure quality service delivery and professional development of student employees in event services and evaluate progress.
  • Mentor and provide developmental guidance for student employees and event programmers in the complex nature of logistics, risk assessment, and policy compliance associated with event planning.  

5% Software and Technology

  • Maintain an appropriate knowledge of audio and visual equipment and can select appropriate systems and accessories needed to produce a wide variety of events.
  • Use event management software to track reservations, record event details and produce reports.
  • Use advanced features of event management software to generate custom reports, refine department workflow, and collect specific information about events; this supports other space approvers across campus beyond just the Viking Union.
  • Use specialized software for creating building floorplans and two-dimensional diagrams to support event planning.
  • Demonstrate competency in Microsoft Office products for communication and distribution of event information.
  • Act as a software administrator in event management software.
Required Qualifications
  • High School Diploma or equivalent.
  • 3 years of experience setting up and operating AV equipment for various events performing multiple event technical operation roles including Front of House, Monitor Engineer, Stagehand, Lighting Designer, etc.
  • Demonstrated well rounded experiences working effectively in highly diverse and inclusive environments, with a commitment to foster and promote an environment of accessibility, diversity, equity, and inclusion (ADEI).
  • Demonstrated capacity to train and teach others in the operations of AV equipment.
  • Demonstrated experience communicating effectively and professionally, including written and interpersonal.
  • Experience providing welcoming, informative, and inclusive customer service to diverse populations.
  • Experience effectively problem solving/troubleshooting audio-visual related problems.
  • Flexibility to work outside of traditional business hours as necessary for meetings and events.
  • Ability to lift, push, and pull 50 lbs.
Preferred Qualifications
  • Possess certification in AVIXA CTS (Must obtain certification within one year of employment) and CTS-I (Must obtain certifications within two years of employment).
  • Experience providing Lead or Supervision over other employees.
  • Experience with setting up temporary power distribution systems in indoor and outdoor environments.
  • Experience with designing and installing permanent audio-visual systems including projectors, speakers, microphones and cameras. Must complete the Extron Control Specialist program and the AV Associate training within one year of employment.
  • Familiarity with the DMX512 lighting protocol.

Salary 

$4,385 - $5,898/month depending on qualifications and experience.
