  • Full-time role - 35 hours per week + FlexTime 
  • Open to Sydney and key Science and Insights locations - hybrid working supported
  • Salary ranges from $105,924.00 to $117,031.00 + super + leave loading

 

Our Science & Insights Division is currently seeking to appoint a Senior Administration Coordinator to support the Conservation and Restoration Science (CaRS) team. In this pivotal role, you will provide critical administrative, coordination and operational support across a range of business areas and projects.

Working closely with the director and branch leadership, you'll help manage day-to-day operations, support the delivery of branch projects, coordinate recruitment and onboarding processes, maintain key records and reporting and ensure smooth and efficient business functions across the branch.

You'll play a vital role in ensuring that financial, project and operational systems are up to date and compliant, while also assisting in workplace health and safety processes and contributing to continuous improvement in administrative practices.

Key Responsibilities:

  • Coordinate and support divisional projects, including documentation, tracking deliverables, reporting and resource planning
  • Deliver financial and administrative support including expenditure monitoring, asset tracking and financial reporting
  • Support recruitment, onboarding and office logistics to ensure a smooth start for new team members
  • Manage scheduling, travel and meeting logistics for directors and key stakeholders.
  • Oversee local fleet management tasks and maintain relevant records
  • Assist in implementing standard operating procedures and supporting compliance with WHS plans and risk assessment processes
  • Collaborate with internal teams and external stakeholders to deliver coordinated, timely and efficient outcomes

 

About You

You’re a natural coordinator and problem solver who thrives in a dynamic, fast-paced environment. You are confident in juggling multiple responsibilities and you bring a proactive, flexible mindset to your work.

To excel in this role, you will have:

  • Strong administrative experience, ideally within a public sector or project-based environment
  • Knowledge of financial, HR and operational processes with a demonstrated ability to manage competing priorities and deadlines
  • Excellent written and verbal communication skills, including experience preparing reports, briefings and high-quality correspondence
  • A collaborative approach and the ability to build strong working relationships with internal and external stakeholders
  • High attention to detail, discretion with sensitive information and sound judgement in complex situations
  • Experience supporting workplace health and safety practices and familiarity with project coordination tools or systems
  • Willing and able to travel to metro or regional NSW, as needed (approximately once per quarter)
