  • Two temporary roles up to December 2026
  • Full-time at 35 hours per week plus Flextime
  • Based in Parramatta or regional office location by negotiation with hybrid working supported
  • Salary range is from $113,574 to $125,720 plus super and leave loading

 

About the role

Our Project Support team is currently seeking to appoint two Document Controllers to provide supporting document control for our portfolio of projects under the Sustainable diversion limit adjustment mechanism | Murray–Darling Basin Authority (SDLAM), designed to achieve similar or improved environmental outcomes for rivers, wetlands and wildlife using less water.

The Document Controller provides system support to ensure delivery of an efficient, effective, customer focused, and professional information management service.  This service supports improvements in digital recordkeeping across the Water Group and co-ordinates activities for physical record processes when required.

 

Accountabilities of the role include:

  • Apply existing or develop new knowledge management systems, model documentation and templates to promote best practice and continuous improvement in contract and project management.
  • Provide expert advice and support to project teams on the storage, management, and use of DCCEEW Water Infrastructure electronic document management systems.
  • Ensure high standards of quality are applied to the management, storage and access to project documentation.
  • Receive, record, distribute and file all technical documentation, including coordinating all project correspondence, such as incoming and outgoing contractual documents, reports and briefs, designs and drawings, schedules, registers, specifications.
  • Coordinate the receipt, recording, distribution, and filing of technical documentation, including contractual correspondence, reports, designs, drawings, schedules, registers, and specifications.
  • Manage the flow of reports and submissions between project stakeholders, ensuring timely and accurate dissemination.
  • Oversee document version control, access permissions, information security, and retrieval processes in line with contractual and records management obligations.
  • Maintain consistency in document control procedures in accordance with agency policy and the NSW State Records Act. Liaise with document controllers across project teams to ensure consistency and escalate system issues to the document management system administrators.
  • Ensure quality control across design reviews and technical documentation, verifying that all project parties are working from the correct version.
  • Maintain up-to-date knowledge of RMS technical specifications and standards.
  • Coordinate and update project-specific modifications to technical specifications and tender documents, ensuring accessibility for project and contract managers.
  • Identify and implement improvements to document control processes based on feedback from project directors and teams.

 

About You

To be successful in the role, you will have demonstrated experience in systems and records administration, including:

  • Proficiency in client-side use of electronic document management system InEight Document (TeamBinder), including version control, metadata management, workflows, and access control.
  • Strong understanding of compliance requirements, including the NSW State Records Act and relevant contractual obligations.
  • Proven ability to implement and maintain quality control processes for technical documentation, ensuring accuracy, completeness, and consistency across all project records.
  • Strong understanding of compliance requirements, including the NSW State Records Act.
  • Excellent attention to detail and organisational skills.
  • Strong communication and stakeholder engagement capabilities.

 

Essential Requirements

  • Tertiary qualifications in information management or other relevant field and/or equivalent knowledge
  • Substantial experience in the IT and /or records management industry.
