The Facilities and Business Services Coordinator plays a key role in ensuring the Office of Sport’s workplaces operate safely, efficiently and in line with NSW Government standards. The role oversees property, facilities and business support services across multiple sites, providing strategic coordination of office accommodation, fleet operations, sustainability reporting, insurance portfolios, procurement and contract governance.
Leading a small multidisciplinary team, the position drives operational excellence, manages recurrent and capital budgets, and partners with stakeholders to deliver compliant, customer focused services that support organisational objectives.
Responsibilities
- Coordinate property, facilities and accommodation services across all sites, including lease administration, facility management contracts and managing agent relationships, ensuring safe, efficient and customer‑focused service delivery.
- Drive strong contractor performance, compliance and value‑for‑money outcomes while ensuring operational safety and service quality.
- Oversee fleet operations by ensuring effective policy implementation, accurate financial and systems management, robust reporting and responsive user support.
- Lead whole‑of‑government sustainability and energy reporting requirements (e.g., NZGO, GEAR) and support the implementation of related sustainability initiatives.
- Manage insurance and risk portfolios, including the Treasury Managed Fund (TMF) and iCare, ensuring effective claims management, risk minimisation and timely compliance.
- Oversee facility‑related operational services, including office supplies, security access and ID systems, mail services and staff/tenant service requests.
- Monitor and manage recurrent and capital budgets for facilities and operational services, ensuring financial accuracy, variance analysis and reporting to senior leadership.
- Lead procurement, operational improvement and communication activities, including whole‑of‑government energy contracts, sustainability and efficiency initiatives, and facility‑related updates (e.g., SharePoint content and staff communications).
- Lead and develop a team of three by setting clear expectations, providing regular feedback and fostering a safe, inclusive and wellbeing‑centred work environment.
You are an experienced facilities or property professional who thrives in a dynamic, multi‑site environment and brings strong judgement, organisational capability and a commitment to safe, compliant operations. You understand NSW Government procurement, contract management and financial processes, and you use data, planning and stakeholder engagement to deliver high‑quality outcomes. You are a confident communicator who builds productive relationships, leads teams with clarity and care, and contributes to a positive, inclusive and customer‑focused workplace.
Tertiary qualifications in a relevant discipline or equivalent professional experience.
