As an Engineering Coordinator, you will be responsible for supporting the engineering team in planning, coordinating, and executing various projects. You will play a critical role in ensuring project timelines are met, budgets are adhered to, and quality standards are maintained. This position requires a proactive individual with strong organizational skills and a passion for engineering.

Key Responsibilities:

  • Provide a support service to the Director of Engineer/Assistant Director of Engineering to assist in meeting the strategic goals of the department.
  • Co-ordinate and respond to telephone requests from guests and general work requests, direct and dispatch work assignments to Engineering trades via telephone, HOTSOS.
  • Maintain work order request board, assign work request to engineering associates and return completed work orders to respective originating departments as per standard and procedure.
  • Co-ordinate the preventative maintenance programs.
  • Inputting data and procedures for Hotel’s preventative maintenance system
  • Maintain accurate records of HOTSOS and completed preventative maintenance
  • Ensure all office supply levels are maintained
  • Maintain and co-ordinate appointments, meetings and inspection schedules
  • Co-ordinate Engineering associate fortnightly / monthly time sheets ensuring they are submitted to payroll
  • Set up and maintain efficient filing system
  • Establish and maintain trace file regarding all maintenance contracts.
  • Responsible for taking minutes of meetings, typing and distribution of same.
  • Solicit pricing and quotations from vendors for storeroom items, departmental supplies and capital projects as assigned.
  • Initiate and co-ordinate purchasing of materials and supplies for the maintenance and construction of certain projects handled by engineering within the hotel.
  • Maintain expense tracking logs or spreadsheets as per departmental standard and procedure.
  • Maintain period contract and fixed expense files including raising all purchase orders and filing of all related service documentation.
  • Process requisition orders and distributes paperwork to accounts payable.
  • Prepare purchase accrual summary at month end and forward to accounting department.
  • Maintain an effective filing system for Engineering purchasing, tracking paid and unpaid invoices.
  • Coordinate with Purchasing to obtain petty cash for emergency purchases.

Qualifications and Requirements:

  • A formal qualification in secretarial practices would be preferred.
  • Hands-on experience in all operational areas of departmental administration.  
  • A minimum of 2-5 years of Administrative background. 1-3 Years industry experience in a similar role in a luxury hotel is preferred
  • Ability to demonstrate initiative and commitment to professional values
  • Should possess an excellent command of English (written and oral) – Fluency in other languages will be a definite advantage
  • Excellent typing skills.
  • Must possess excellent knowledge of computer programs such as Microsoft Office, Windows, Outlook, Access, CMMS/HotSOS etc. (latest version)
