Position: Kitchen Administrative Assistant (Full time #539105 )
Property / Office: Mandarin Oriental, Jakarta
Location: Jakarta, Indonesia
Major Responsibility:
Provides administrative support to the Executive Chef and flexibility to assist all F&B departments as needed to ensure a smooth running of the F&B Administration.
Answers telephones and composes all types of business correspondence.
Maintains the Executive Chef’s calendar and all appointments.
Takes the minutes of all meetings that the Executive Chef requests and maintains follow up and follow through with the necessary updates.
Maintains the office correspondence in a proper and sequential order at all times.
Prepares presentations and other documentations required for the kitchen office.
Orders and controls office supplies when necessary.
Coordinates with all colleagues to ensure an efficient flow of communication to and from the administration office.
Responsible for assisting the Executive Chef with the administration and smooth running of the F&B kitchen division

Primarily responsible for organizing work and follow up / tracing pending projects
To handle and direct all inquiries to the appropriate person
Ensures proper requisitioning and controlling of office supplies
Responsible for follow up of all Kitchen Staff regarding training, manning guide and others as per the Executive Chef’s orders.
Maintain and updates F&B files; Banquet event orders for the day, daily kitchen reports, kitchen duty rosters, Room occupancy, Forecasts or budget, HACCP updates and reports, Others as specified
Types correspondence and ensure accuracy of grammar, composition and format
Handles incoming and outgoing calls according to hotel standards
Ensures proper requisitioning and control of office supplies; follows up on delivery of materials where need
Ensures all correspondences, faxes, messages, emails are responded in a timely manner / disseminated accordingly
Ensures all arrangements are made prior to meetings (booking of function room, set ups, meeting materials etc.) (F&B Meetings)
Co-ordinates with colleagues and representatives of other departments to ensure an efficient flow of communication
Maintains general cleanliness of the office
Adheres to the set procedures for attendance and timekeeping
Adheres to the specified hygiene and personal grooming standards of the hotel
Perform any other reasonable duties as required by the Executive Chef from time to time.
