Scope of Position  

 

To maintain all administrative duties within the People and Culture function, support positive colleague relations and promote our company values and culture.

 

Responsibilities

 

  1. General:
  • It is part of your role to understand and comply with all corporate and hotel policies and standard operating procedures.
  • MOHG Code of Conduct requires that all business activities and business decisions comply with the general law, with all rules, regulations, and other requirements.
  • It is part of your role and your responsibility to fully support all People & Culture activities.
  • You shall take all reasonable steps to safeguard stored information, and not divulge or otherwise transfer any personal data concerning the guests, customers or colleagues, or any confidential information concerning the hotel unless with the appropriate authority.
  • Use of the hotel’s network, computers or internet access which is in the hotel’s view unreasonable or inappropriate, for example gambling, chatroom, or pornographic material, is a serious breach of hotel policy and grounds for summary dismissal.
  • Support and adhere to all policies & procedures relating to Safe, Sound and Sustainable at Mandarin Oriental.
  • Ensure compliance with the MOHG Social Media Policy, i.e. to be fully responsible for the content you publish on any social media platform, including your personal site.
  • Mandarin Oriental, Muscat has zero tolerance on all forms of harassment or discrimination, i.e. it is strictly forbidden to discriminate on the basis of gender, disability, including physical or medical condition, race, colour, religion, national origin, ancestry, citizenship, age, sexual orientation, marital status, or for any other reason.
  • To carry out any additional duties requested by Director of People & Culture.
  1. Departmental:
  • To oversee the time and attendance system as well as the roster.
  • To register new joiners/colleagues on the clocking machine.
  • To work on the booking system of the travel agency for flight tickets and to book tickets for new joiners/colleagues.
  • To assist in doing data entry on the payroll software.
  • To look after PO and do proper follow up with Finance and other concerned department/s.
  • To raise requisition for P&C amenities and follow up accordingly with purchasing.
  • To handle all administrative duties in a timely manner assigned by the leaders of the P&C department.
  • To organize and lead the welfare activities as per the welfare calendar set by the welfare committee and P&C department.
  • To prepare birthday cards and to communicate colleagues’ birthdays every month.
  • To assist in filing and make sure all documents are on file as per policy.
  • To communicate welcome announcement of new colleagues.
  • To communicate the list and the data of new joiners to the medical insurer on time.
  • To complete day to day personnel administration in response to requests and action plans.
  • To maintain good rapport and working relationship with all colleagues.
  • To always provide a courteous and professional service.
  • To always project a positive and motivated attitude and a calm behaviour.
  • Administering the purchase process, maintaining an accurate inventory of all supplies and equipment within People and Culture.
  • To keep the internal communication boards and digital noticeboard at the canteen with updated information everyday.
  • To administer all internal transfers within the hotel.
  • To manage all personnel procedures with regards to starters, transfers, promotions, and leavers.
  • To be familiar with the administration of colleague benefits and salaries.
  • Prepare and issue monthly reports for starters, promotions, transfers and leavers list and send it to P&C, Payroll, Security, and IT.
  • Coordinate all flight tickets with colleagues and travel agencies.
  • Design posters and presentations for all colleague events and colleague meetings.
  • To prepare colleague welcome cards/handbooks.
  • To support the Hotel “Move in” orientation programme and to conduct these duties as and when required.
  • Report Security incidents to the Director of Security.
  • Always act as a hotel “ambassador”.
