About the role

We are seeking a high organised Executive Assistant to play a key role in providing proactive C-suite support the Managing Director of Garages and Chief Customer Officer. This is a diverse role within a collaborative team of Executive Assistants at Halfords Support Centre. This role will be the key point of contact and trusted partner, ensuring smooth management of diaries, communications, and engagements across a wide range of internal and external stakeholders.

Key responsibilities

  • Manage the Executive’s diary, inbox, and schedule, prioritising meetings and engagements to align with strategic priorities.
  • Act as an ambassador for the Executive, liaising with the CEO, Executive team, Board members, customers, suppliers, and third-party partners.
  • Prepare the Executive for meetings by providing relevant briefing materials and logistical details such as venue, attendees, and directions.
  • Collaborate closely with the EA to the CEO and wider EA team to provide support and cover when needed.
  • Handle confidential and sensitive assignments with discretion and professionalism.
  • Coordinate complex domestic and international travel arrangements in partnership with our travel management company.
  • Organise team events, including venue booking and managing attendance for meetings, offsites, and conferences.
  • Manage expense claims and approval processes for the Executive and their direct reports.
  • Oversee team holiday requests to ensure consistent coverage.
  • Draft correspondence and create high-quality presentations using PowerPoint
  • Drive efficient working practices by leveraging Microsoft 365 and Copilot technologies.

About you

  • The ideal candidate for this role, will already be working at Board level, supporting an Executive Director or other senior manager 
  • Experience of managing and influencing key stakeholders - working in a calm, professional manner when dealing with all stakeholders, both internal and external  
  • Ability to work in a fast-paced environment with multiple priorities. Works well under pressure with the ability to maintain a positive attitude  
  • Strong organisational and administration capability, with the ability to prioritise and manage time to meet changing business needs and deadlines.  
  • The ability to work as part of a team, proven interpersonal skills with a friendly and approachable manner. 
  • Proactive and flexible with a willingness to undertake new tasks readily. 
  • High degree of integrity and confidentiality.
