Job Summary:

The Administrative Assistant is responsible for processing and maintaining office records for Student Success Center and assisting with data management in JSU Navigate. This position requires excellence in customer service with providing routine information and occasionally explaining methods and procedures of services and activities to student and the general public.

Duties and Responsibilities:

  • Participates in departmental Tutor and Supplemental Instruction trainings as needed.
  • Assists with data management in JSU Navigate.
  • Utilizes JSU Navigate to ensure proper daily operations.
  • Interviews, hires, and supervises student clerical assistants.
  • Creates and provides departmental training to student clerical assistants.
  • Assists with overseeing departmental budgets.
  • Maintains inventory of office supplies, textbooks, academic resources, and technology, and manages the departmental Resource Library.
  • Assists with creating departmental marketing materials.
  • Assists with creating student employment contracts for all student employees.
  • Distributes mail; organizes correspondence requiring attention of supervisor; independently answers correspondence requesting standard information or materials; may modify form letters to apply to various situations; completes routine forms.
  • Serves as receptionist; receives, screens and routes visitors; answers routine inquiries by phone or in person or refers to appropriate person.
  • Maintains filing systems according to departmental protocol; files may either be hard copy or computer-based; verifies the accuracy of processed data.
  • Assists in the compilation and coordination of data for reports.
  • Responds to routine inquiries and disseminates information about the services offered by the Student Success Center.
  • Provides tours of the Student Success Center to visitors and other JSU employees as needed.
  • Takes general notes and minutes of meetings or conferences.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • High School Diploma, and
  • at least four (4) years of administrative experience

Preferred Qualifications:

  • Bachelor’s degree
