Job Summary:
The Administrative Associate performs clerical duties in support of the overall functions of Learning Support Resources. This position also serves as the initial point of contact for staff, faculty, students, and other constituencies and responds to routine inquiries and disseminates information about the services offered by Learning Support Resources.
|
Duties and Responsibilities:
- Serves as receptionist; screens and routes visitors; answers routine inquiries by phone or in person or refers to appropriate person.
- Assists with processing new adjuncts, course scheduling, and requisitions for Student Success Center (SSC) academic courses.
- Presents a professional appearance while representing the University with internal and external clients.
- Receives, sorts according to content, and distributes mail; organizes correspondence requiring attention of supervisor; independently answers correspondence requesting standard information or materials; may modify form letters to apply to various situations; completes routine forms.
- Maintains Learning Support Resources electronic filing systems according to departmental protocol unless otherwise directed; verifies the accuracy of processed data.
- Maintains Assistant Vice Provost for Learning Support Resources appointment calendar.
- Supports routine administrative work for offices in Learning Support Resources (e.g., Disability Resources, Testing Services, and Transfer and Adult Student Learning Support)
- Monitors budget(s) and keeps the Assistant Vice Provost for Learning Support Resources abreast of budgetary matters.
- Completes routine requisitions and assists with reimbursement requests from ADRS.
- Assists the Assistant Director for Disability Resources with budgetary planning and oversight for Deaf/Hard of Hearing College Prep.
- Maintains inventory of office supplies and materials.
- Assists in the compilation and coordination of data for reports.
- Records verbal and numerical data such as personnel and payroll information following designated procedures.
- Attends and takes general notes and minutes of team meetings.
- Organizes and supervises student and graduate assistant work.
- Responds to routine inquiries and disseminates information about the services offered by the department.
- Provides support to the department serving as the initial point of contact for staff, faculty, students, and others.
- Performs other duties as assigned.

Required Minimum Qualifications:
- High School diploma or equivalent
- Three (3) years full time equivalent experience in clerical or administrative support
