WHAT YOU'LL DO:

  • Executive Support:
    • Provide advanced administrative support to the CIO and executive leaders, including work involving sensitive and confidential information. Exercise sound judgment, apply established guidelines, and independently assess situations to determine appropriate next steps.
    • Compile and prepare materials for Board of Directors meetings with a high degree of accuracy, attention to detail, and confidentiality.
    • Support the CIO’s enterprise technology organization and related leadership teams with administrative needs, executive communications, meeting preparation, and priority coordination.
    • Assist with budget management and expense activities by tracking, processing, and reporting expenses for leaders or organizational needs with accuracy and independent judgment.
    • Review incoming and outgoing information to identify issues, improve work processes, maintain compliance, and alert executive management to potential concerns.
  • Calendar Management:
    • Independently manage complex calendars, schedule meetings, reserve conference rooms, coordinate technical resources, and anticipate scheduling conflicts before they arise.
  • Inquiry Handling:
    • Screens, handles, and directs inquiries from various sources, including internal and external partners, clients, customers, vendors, and management, demonstrating discretion with confidential and complex information.
  • Travel Coordination:
    • Coordinate travel arrangements, itineraries, and group events for in-office and offsite needs, partnering with internal teams and external resources as appropriate.
  • Document Production:
    • Create and refine executive-level business documents, correspondence, training materials, spreadsheets, reports, and presentations using multiple applications and systems. May assist with invoice processing, contracts, statements of work, non-disclosure agreements, and general contracting processes.

WHAT YOU’LL BRING:

  • Experience providing administrative or business support in a professional environment, including strong proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and other business applications.
  • Excellent verbal and written communication, interpersonal, and customer service skills, with the ability to proofread materials and produce accurate, professional business communications.
  • Strong time management, organizational, analytical, and decision-making skills, with close attention to detail and the ability to manage multiple priorities independently and collaboratively.
  • Ability to adapt to a changing work environment, continuously learn new skills, coordinate business activities or events, and apply creative approaches to problem solving.
  • Ability to maintain regular and predictable attendance, demonstrate accountability for results, and meet deadlines with a sense of urgency.
