JOB SUMMARY:

Directly oversee the daily operation of the Guest Arrivals – North Campus Administration team. Primarily includes oversight of department Reporting & Analytics, Event Planning, Workforce Management, and project support functions. Follows established procedures and project management processes to ensure that responsibilities are completed on-time and in a way that provides timely support to field teams. Plans and executes projects of varying size and scope as assigned by the Senior Manager.

MAJOR RESPONSIBILITIES:

  • Provides daily oversight to administrative staff to ensure that field management team is well-supported and receives resources in a timely manner. Partners with Senior Manager to provide oversight to non-labor spending with a focus on accurate tracking of expenses and maintaining inventory levels for all operating groups.
  • Execute project and/or capital requests, as assigned, to ensure items are completed on time, within budget, and meeting department needs. Communicate proactively with field leadership and operating partners to ensure all aspects of assigned projects are integrated into the daily operation.
  • Assist with special events that impact Guest Arrivals operating venues. Verify that the event planning team maintains collaborative relationships with internal and external partners to ensure that events exceed client expectations and daytime operation impact is minimal. Physically work special events as needed.
  • Provide guidance to the Workforce management team, with a focus on reducing attrition, ensuring proper headcounts are maintained, and the sustainment and overall enhancement of all department training programs.
  • Perform department MOD (duty manager) role as assigned.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

EDUCATION:

  • Bachelor’s degree is required in Business, Project Management, or other related field.
  • Or equivalent combination of education and experience also acceptable.

EXPERIENCE:

  • 3+ years of leadership experience in a highly dynamic environment required.
  • Management experience in front of house facing business preferred.
  • Project Management and/or Business Analysis experience preferred.
  • Or equivalent combination of education and experience also acceptable.

CERTIFICATIONS, LICENSES, REGISTRATIONS:

  • Florida Driver’s License is required.

ADDITIONAL INFORMATION:

  • Ability to effectively present information in one-on-one and large group settings to Team Members at all levels of the organization.
  • Individual must be proficient in Microsoft 365 software suite, notably including applications such as Word, Excel, PowerPoint, Power Automate, PowerBi, and SharePoint.
  • Strong time management skills with ability to meet deadlines for multiple tasks.
  • Strong communication and partnership skills.
  • Ability to multi-task and change direction quickly.
  • Ability to recognize opportunities for process improvement and efficiency gains.
  • Ability to remain calm in challenging situations.
  • Possess a confident and professional demeanor.
  • Be a self-starter with a proactive, agile and strategic mindset.
  • Strong interpersonal skills, with a demonstrated ability to make effective decisions while working through complex issues.
  • Must have scheduling flexibility to attend meetings outside of normal park hours with vendors, clients or partners as needed.
  • Knowledge of project management concepts and processes, requirements gathering and business analysis.
