JOB SUMMARY:
Supports the Event Operations team to ensure administrative support for both the scheduling and management teams. Executes both routine and non-routine administrative tasks and assignments for the successful operation of the Event Operations department.
MAJOR RESPONSIBILITIES:
- Supports scheduling team functions including, but not limited to, shift swaps, adding/removing shifts, adding job codes, communicating scheduling changes with Team Members, and creating/sending staffing updates. Assists with finding Team Member, Lead, and Management coverage for events. Assures management team schedule is posted each week.
- Compiles and updates event tracking data in excel and word; maintains employee and operating files, and compiles information for reports distributed to partners and the management team. Generates and distributes reports such as, No Pay reports, Average Hours, Minors and weekly ER activity.
- Monitor department Safety and Compliance Training. Schedule, enroll and communicate training with the operations team.
- Coordinates and schedules work and/or projects requests with internal partners and outside vendors. Monitors and provides updates of work or project status to insure timely completion. Space plans for meetings within Event Operations. Provide primary assistance with administrative functions of the Event Operations department including, but not limited to office ambassador duties, equipment inventory, product assistance, sourcing, onboarding and work space coordination.
- Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
EDUCATION:
- High School or GED is required.
EXPERIENCE:
- Two years computer experience in Windows environment and spreadsheet knowledge highly preferred.
- Hospitality industry experience is preferred.
- Scheduling experience preferred.
- Must type 30 wpm.
- Communication and organization skills a must.
- Or equivalent combination of education and experience.
