JOB SUMMARY
Ensures a fluid work environment within the office of the Senior Vice President and the departments they support by performing administrative and office management duties. Uses initiative and good judgment; works independently with little supervision and maintains strict confidentiality.
MAJOR RESPONSIBILITIES
- Provides administrative support for the Senior Vice President and corresponding Executive(s) and departments that may include typing, mailing, emailing, copying and other essential administrative duties.
- Maintains executive(s)’ calendar(s) and makes all necessary arrangements for appointments and travel.
- Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies, includes acquiring and maintaining technology needs through standard Universal Orlando / Universal Parks & Resorts procedures, onboarding, sourcing, and workspace coordination.
- Develops and maintains reports (including expense reports), databases, presentations, spreadsheets and/or files as appropriate and required.
- Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
- Performs other duties as assigned.
ADDITIONAL INFORMATION
Typically responsible for departmentwide support. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities (KSAs) required:
• Proficiency in Word and Excel required.
• Proficiency in PowerPoint and Outlook preferred.
• Proficiency with telecommunication devices (e.g., iPhone) preferred.
• Familiarity with UO systems is a plus.
EDUCATION
Bachelor’s degree is preferred.
EXPERIENCE
3+ years of Senior Administrative Assistant experience required; or equivalent combination of education and experience.
