JOB SUMMARY

Provides advanced administrative and computer support to Director and/or Assistant Director and their departments.

MAJOR RESPONSIBILITIES

  • Initiate and follow-up on action items for new and/or routine projects, processes, and/or policies. Coordinates with other departments and/or external sources.
  • Generates department correspondence and/or reports. Uses appropriate computer programs to analyze, compile, update and maintain department correspondence and/or reports. Disseminates data/information to the appropriate parties. Prepares expense reports. May create presentations and/or corresponding materials.
  • Screens/prioritizes/directs incoming calls and mail/correspondence, taking appropriate actions as necessary.
  • May maintain executive(s)’ and corresponding department’s calendars, coordinate meetings, and/or set appointments. Makes travel and/or training arrangements when necessary.
  • Provides administrative support, direction, guidance, and/or training to department. Serves as a liaison with other departments in acquiring and maintaining technology, supplies, onboarding, work space coordination, sourcing and other logistical needs through standard UO/UPR procedures.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities. 
  • Performs other duties as assigned.

ADDITIONAL INFORMATION

Proficiency in MS Word and Excel required. Proficiency in MS PowerPoint and Outlook preferred. Familiarity with UO systems is a plus.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities (KSAs) required:                 

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write reports, business correspondence, and procedure manuals. Ability to respond to common inquiries or complaints from customers/clients, regulatory agencies, or members of the business community.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to interpret spreadsheets and bar graphs.

REASONING ABILITY: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to deal with problems involving several concrete variables in standardized situations.

SCOPE

COMPLEXITY OF WORK: Moderately routine; general policies applied. Some decision-making.

RELATIONSHIPS OUTSIDE WORK UNIT: Exchange of information which occasionally requires tact and/or diplomacy.

EDUCATION

High school degree or GED is required. Bachelor’s degree is preferred. 

EXPERIENCE

2 to 5 years of administrative assistant experience preferred; or equivalent combination of education and experience.
