JOB SUMMARY

The Coordinator, Contracts, works under the direction of the Director, Contracts, and other Universal Creative Legal Department leadership, and is responsible for supporting the Universal Creative Legal Department with preparation, issuance, and monitoring of various documents. This role is also responsible for coordinating and executing vendor pre-qualification related requirements, maintenance of contract document files and repositories, and supporting department communications and events.

MAJOR RESPONSIBILITIES

  • Support the Universal Creative Legal Department in the preparation of various contract documentation by utilizing and modifying established digital forms and in accordance with the directions of Universal Creative Legal Department team members and department policies and procedures. 
  • Monitor open and closed department items across various systems, and ensure all data is entered accurately. Maintain, migrate, and archive various contract documents, including both digital and hardcopy files, in accordance with department and other company policies and procedures. 
  • Support the Universal Creative Legal Department with timely issuance of various documents via mail, shipping service, email, DocuSign, and other methods of transmission at the direction of Universal Creative Legal Department team members. Log, track, and conduct follow ups on the various documents issued.
  • Support the Universal Creative Legal Department team members with the pre-qualification of vendors, conducting business entity checks, securing confidentiality agreements, and conducting other vendor setup tasks, including the gathering and distribution of relevant information. Log, track, and conduct follow ups on vendor setup tasks.
  • Create, update, and distribute meeting agendas, department communications, contract status reports, and other informational logs under the supervision of the Director, Contracts. Contribute to preparing presentation decks at the direction of the Director, Contracts.
  • Coordinate, schedule, support, and attend regular meetings, trainings, and Universal Creative Legal Department team building events. 
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities. 
  • Performs other duties as assigned.

EDUCATION

  • Associate’s degree (AA) or equivalent or technical school required.

EXPERIENCE

  • 2+ years office experience, legal environment preferred; or equivalent combination of education and experience.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook), DocuSign, Smartsheet, and SharePoint.
