JOB SUMMARY

The Administrator, Legal Affairs, works under the direction of the Sr. Attorney in managing various Universal Creative Legal Department workstreams, functions, and initiatives. This includes serving as a master custodian for reports generated at the direction of counsel, managing workstreams for processes requiring legal review, supporting knowledge sharing efforts, and serving as the liaison in the Universal Creative Legal Department’s general inquiry platforms. This role will also provide support to the Universal Creative Confidentiality Team on tasks requiring the Universal Creative Legal Department involvement and the Universal Creative Legal Department in data security practices.

MAJOR RESPONSIBILITIES

  • Manage the workstreams for drone applications, testing requests, and other matters requiring the Universal Creative Legal Department’s review. Contribute to the creation of the workstreams using technology tools, manage the workflow to ensure timely resolution of requests, track requests, conduct follow ups, and generate reports on workflows. Support documentation creation on workstream processes and training.
  • Serve as the master custodian for reports generated at the direction of the Universal Creative Legal Department including managing repositories, sites, tracking report status, generating status reports, and conducting follow ups. Manage user access and record retention for the reports consistent with company policies. Assist with audit requests.
  • Contribute to new project startup efforts, including gathering, tracking, and reporting on various project information. Assist with creation of new project startup tracking and information dissemination tools.
  • Support the Universal Creative Confidentiality Team on matters requiring the Universal Creative Legal Department’s review, including routing, tracking, and following up on matters, and contributing to Universal Creative Confidentiality Team workflows. 
  • Manage the Universal Creative Legal Department general inquiry platforms by monitoring inboxes, routing requests to applicable reviewers, and tracking, following up, and responding to requests. Support dissemination of information into knowledge sharing platforms within the Universal Creative Legal Department and other Universal Destinations and Experiences Legal Department platforms. Generate status reports on a regular basis.
  • Support Universal Creative Legal Department data security practices, document storage, and retention. Partner with Universal Creative and Universal and Universal Destination & Experiences Records and Compliance teams to create and maintain best practices for document storage, accessibility, retention, and compliance. Manager user access consistent with company policies.  Assist with audit requests.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities. 
  • Performs other duties as assigned.

EDUCATION

  • Bachelor’s degree required.

EXPERIENCE

  • 2+ years’ experience Legal Department administrative duties and contract drafting experience preferred, or equivalent combination of education and experience.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook), DocuSign, Smartsheet, and SharePoint.
