JOB SUMMARY:
Ensures the effective administrative operation of the Universal Orlando Career Network by interacting with Team Members who seek internal job opportunities, resume reviews, mock interviews, mock audition sessions, and general career advice. Executes routine and non-routine clerical assignments and office management duties supporting the Strategy & Experience Programs Team. Responsible
for maintaining and updating, and as necessary, analyzing and reporting assigned data accurately and timely.
MAJOR RESPONSIBILITIES:
- Provides administrative support for Universal Orlando Career Network and Career Connector Program, including but not limited to:
- Responding to inquiries and maintaining ongoing communication with Team Members via phone, email, and daily HR lobby walk-ins
- Performs Career Discussions with Team Members to build Career Connector’s future pipeline
- Facilitates UOCN classes as assigned
- Routing incoming phone calls, voicemails, and emails appropriately]
- Maintains department files and confidential information
- Reviews UOCN Career Coaching applications in PageUp and schedules Career Discussion appointments accordingly.
- Provides consistent follow up with all Team Members and HR Partners.
- Supports UOCN events as assigned
- Responsible for maintaining the internal park hourly transfer tracker, processing PPA’s and send transfer communication to Team Members and all applicable business partners in an accurate and timely manner.
- Prepares and distributes daily, weekly, and monthly reports for Manager and other members of the Talent Acquisition management team by request. Updates and compiles data on spreadsheets on weekly basis.
- Supports the lobby operation when needed to assist with hiring events, onboarding, front desk, and other duties as requested.
- Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
- Perform other duties as assigned.
EDUCATION:
- High school degree or GED is required.
- Associate degree (AA) is highly preferred. Bachelor’s degree in business Admin, HR, Communication preferred.
EXPERIENCE:
- 0-1 Year: Administrative support and/or HR experience is required. 1-3 Years: Administrative and computer experience in a windows environment preferred; or equivalent combination of education and experience.
- Proficient in computer programs and systems, preferably in Kronos, Teams, Smartsheet, and PeopleSoft.
- Must possess excellent Microsoft Office capability and skills, especially in Outlook, Excel, Word, and Power Point.
- Strong written, oral, and interpersonal communication skills.
- Highly self-motivated and directed with keen attention to detail.
- Ability to effectively prioritize and execute tasks in a fast-paced environment.
- Experience working both independently and, in a team-oriented, collaborative environment.
