Senior Coordinator, Talent Booking and Casting

JOB SUMMARY:

The Senior Coordinator is responsible for the over-all management of documents including audition postings, coordinating rehearsal hall requests, offer letters per project, and post audition data analytic components. Ensures business deadlines met and documents are appropriately categorized and updated. Partners with key stakeholders to ensure most current information is being accessible and included. Point person for the high-volume Auditions and Casting mailbox management mitigating the risk of escalation of candidate questions and concerns while aligning responses with company policies.  Works with vendors and ensures and that contracts are executed accurately. Responsible for scheduling the TBC Coordinator Team and creating and updating training materials for the TBC Coordinator Team. Assists the TBC Management Team as needed with audition coverage and Coordinator training.

MAJOR RESPONSIBILITIES:

  • Partners with Supervisors, Managers, and key stake holders to ensure accuracy and complete components of the Entertainment Division’s Casting processes. Works closely with Talent Booking & Casting Management. Is at times leads or assists the TBC Management Team for fittings and callbacks, audition reviews.
  • Responsible for writing and processing of callbacks in DAS, Facilitates rescheduling candidates with conflicts. Ensure callbacks are organized and complete and current information is communicated to the Management Team and Coordinators.
  • Provides guidance, support, and training for Coordinators. Writes and updates Coordinator training manuals and reference materials. Responsible for the high-volume Auditions and Casting mailboxes. Ensure candidates are being responded to quickly and accurately and that the mailboxes are staying clean and filed appropriately. Mitigates risk by identifying elevated e-mails from candidates/Team Members and ensures responses are partnered when appropriate with TBC Management and/or the HRBP team. Oversees and coordinates the rehearsal hall calendars partnering with management when elevated needs arise for the space. In partnership with the TBC Management Team, build weekly coordinator schedules and enters them into UKG.
  • Writes audition collateral and updates the audition website ensuring any Intellectual Property references are according to required guidelines, aligned with DEI initiatives, and reflective of UOR Company policies. Ensures postings are aligned with legal lines and accurate licensed partner information based on each audition’s requirements.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

SCOPE: 

The individual in this job must maintain confidential information regularly, have a thorough knowledge of UO Policies and Procedures, and deliver casting decisions (whether yes or no) while displaying a high degree of tact and guest service while understanding department deadlines and priorities for completion of offers and tasks. The position must be proactive in approach and seek out ways to assist Casting Team and its clients, identify root causes and be self-directed to develop solutions, manage frequently changing priorities, and communicate effectively under a deadline. Work is primarily administrative, guest service orientated, and data-driven, with some walking and lifting.

EDUCATION: 

  • High school degree or GED is required.
  • Associate degree (AA) is preferred. 

EXPERIENCE: 

  • 2+ years’ experience in a high-volume deadline-driven administrative environment required.
  • Hospitality or Guest Service experience preferred.
  • Proficiency in Microsoft Excel and Microsoft Outlook required.
  • Or equivalent combination of education and experience.
